Client Onboarding Administrator
We are seeking a highly organised and detail-focused Client Onboarding Administrator to join the Risk Management team in Northampton.
The role will provide essential support across the firm's client and matter onboarding processes, ensuring that file opening, AML, CDD, sanctions and conflict checking requirements are completed accurately, efficiently and in line with firm policies and regulatory requirements.
Working as part of a centralised onboarding function, you will act as a key point of contact for fee earners, secretaries and wider support teams. You will help ensure new clients and matters are onboarded smoothly while maintaining high standards of compliance, data accuracy and service delivery.
This is an excellent opportunity for an experienced administrator looking to develop their career within a professional services or legal environment, with exposure to risk, compliance and client onboarding.
Key Responsibilities
Client & Matter Onboarding
- Process new client and matter opening requests in accordance with established procedures.
- Review File Opening Forms (FOFs), MARAs and supporting documentation to ensure information is complete and accurate.
- Open new clients and matters on the firm's systems.
- Update and maintain client and matter records as required.
- Ensure all onboarding requirements are completed within agreed service levels.
AML, CDD & Compliance
- Complete AML, CDD, sanctions and conflict searches in accordance with firm policies and procedures.
- Review information and documentation to identify potential compliance concerns.
- Escalate potential AML, sanctions or conflict issues to the appropriate Team Leader or Risk Manager.
- Maintain accurate and up-to-date compliance records.
- Ensure all required verification and compliance documentation is obtained and recorded appropriately.

Document & Data Management
- Save onboarding, compliance and verification documentation using agreed naming conventions and filing procedures.
- Ensure client and matter information is accurately recorded across relevant systems.
- Complete and maintain Compliance Notes and associated records.
- Maintain high standards of data integrity and confidentiality.
- Identify and resolve discrepancies or missing information where appropriate.
Stakeholder Support
- Act as a key point of contact for fee earners, secretaries and internal stakeholders regarding onboarding and AML-related queries.
- Provide clear and timely updates on onboarding progress and outstanding requirements.
- Follow up with relevant stakeholders to obtain missing information or documentation.
- Deliver a professional, responsive and consistent service to internal clients.
- Build effective working relationships across the firm.
Team & Process Support
- Manage and monitor the NBU inbox in line with agreed procedures and service standards.
- Monitor outstanding AML and onboarding requirements and complete appropriate follow-up actions.
- Ensure requests are prioritised effectively and progressed within agreed timescales.
- Support the Team Leader and Risk Management team with wider administrative activities where required.
- Contribute ideas and recommendations to improve onboarding processes and service delivery.
- Support the continuous development and improvement of the NBU function.

About You
We are looking for a proactive and organised administrator with excellent attention to detail and an interest in risk, compliance and client onboarding.
You will be comfortable working with confidential information, following detailed procedures and managing multiple requests within agreed deadlines. Strong communication skills are essential, as you will work closely with fee earners and support teams across the firm.
Skills & Experience
- Previous experience within an administration or business support role.
- Awareness of AML, CDD, sanctions and conflict checking requirements.
- Understanding or previous experience of client and matter onboarding processes is desirable.
- Experience within a legal, professional services, financial services or regulated environment would be advantageous.
- Strong attention to detail and a high level of data accuracy.
The Ideal Candidate
The successful candidate will be highly organised, detail-oriented and proactive, with a strong commitment to accuracy and delivering a high-quality internal service.
You will have the confidence to work independently while knowing when to seek guidance or escalate an issue. An interest in developing your knowledge of AML, compliance, risk and client onboarding would be highly beneficial.
This role offers an excellent opportunity to develop specialist experience within a Risk Management function, while playing an important role in ensuring the firm's clients and matters are onboarded efficiently and in accordance with regulatory and internal requirements.
