The Role
The Client Onboarding Project Manager is the primary point of contact for new and expanding institutional clients implementing primarily Kortext’s Data Products, specifically Stream and Insights. You will plan, coordinate, and deliver end-to-end onboarding programmes, working closely with customers, internal product and commercial teams, and technical stakeholders to ensure smooth, on-time, and high-quality implementations. This role sits at the heart of the customer journey and demands a blend of structured project delivery, strong analytical thinking, and outstanding people skills.
Key Responsibilities
Client Engagement & Relationship Management
- Serve as the named project lead for client onboarding engagements from contract signature through to live handover
- Build trusted relationships with senior stakeholders at customer institutions, facilitating workshops and onboarding sessions with confidence
- Communicate clearly and proactively with clients on project status, risks, and decisions — translating technical detail into accessible language
- Manage customer expectations and navigate scope discussions diplomatically
Project Delivery
- Define, maintain and update detailed project plans, milestones, and RAID logs for each onboarding engagement using waterfall delivery principles
- Coordinate cross-functional dependencies across product, engineering, data, and account management teams to ensure end-to-end visibility of the project status
- Track and report on project progress against plan, use proper escalation channels for managing risks, issues and scope changes
- Adapt delivery approach where appropriate, applying waterfall, agile or hybrid practices to improve responsiveness within structured programmes
- Maintain accurate project documentation throughout the engagement lifecycle

Business Analysis
- Elicit, document, and validate customer requirements for Stream and Insights product line of Kortext for configuration and data integration
- Conduct gap analysis between customer needs and out-of-the-box product capability, recommending appropriate next steps for product scalability and customer satisfaction producing clear requirements documentation, process flows, and user acceptance criteria for added functionality in support of preparing a Statement of Work
- Work with data and technical teams to support data mapping, feed configuration, and acceptance testing activities
Continuous Improvement
- Identify and feed back patterns and themes from onboarding engagements to inform product and process improvements
- Contribute to the development and refinement of onboarding frameworks, templates, and playbooks
- Share knowledge and best practice with colleagues in the Project Management team
Skills & Requirements
Essential
- 5+ years of proven experience in a customer-facing project management or implementation role, ideally within SaaS, EdTech, or data products
- Strong track record of delivering structured projects end-to-end and independently using waterfall, agile or hybrid methodology, with the ability to manage multiple concurrent engagements
- Strong commercial awareness with the ability to manage customer expectations, challenge scope appropriately and balance customer needs with product scalability and business priorities
- Demonstrable business analysis qualification or formal training — experienced in requirements gathering, process mapping, and documentation
- Excellent facilitation skills; confident running workshops, discovery sessions, and steering meetings with senior and external stakeholders
- Familiarity with agile principles and practices; comfortable operating in a hybrid delivery environment
- Strong written and verbal communication skills with the ability to adapt style for technical and non-technical audiences
- Strong problem-solving and decision-making skills, with the ability to identify risks, recommend solutions and drive projects forward with minimal supervision.
- Collaborative team player with a proactive, problem-solving mindset
- Experience mentoring, coaching or supporting less experienced project managers or implementation specialists.

Desirable
- Experience in higher education or learning technology sectors
- Exposure to data integration, APIs, or analytics platforms
- Formal project management qualification (e.g. PMP, PRINCE2, APM PMQ)
- Familiarity with tools such as Asana, Jira, Confluence, Azure DevOps, SharePoint or similar project and documentation platforms
