Newmark's Leeds Office

Newmark's Leeds office currently comprises of 12 Surveyors together with an Office Administrator, and a team of Rating Managers and Rating Administrators. We are looking for an Administrator to join our Rating and Client Ops team on a 12-month FTC basis to help support additional workload. This role will provide general administrative services to the Rating and Client Ops team.

The role is required a minimum of three days a week in our Leeds office:

Main responsibilities

  • Entering new instructions, clients and contacts onto the CRM database.
  • Entering, maintaining and validating accurate, up-to-date rating information within the firm's rating database.
  • Preparing and generating invoices using the firm's computerised invoicing system.
  • Pursuing rates refunds and the issue of Notices from the Valuation Office Agency and Billing Authorities.
  • Preparing valuation, challenge and other rating-related documentation and reports as required.
  • Producing regular and ad hoc financial, operational and rating reports for both internal and client audiences.
  • Maintaining, updating and analysing rating and property data using Excel and other business systems, including the preparation and submission of information to external bodies where required.
  • Liaising directly with clients regarding administrative matters and information requests.
  • Drafting correspondence under the direction of Partners and Associates.
  • Producing and formatting documents, reports and correspondence using Microsoft 365 applications.
  • Handling incoming telephone calls and responding to enquiries appropriately.
  • Filing, photocopying, scanning, binding and maintaining electronic and hard-copy records.
  • Undertaking general administrative and office duties as required to support the effective operation of the department.
  • Carrying out any other duties reasonably requested by the Team Leader to support the smooth running of the team.
