Join Our Team as a Client Relationship Administrator
Location: Chesterfield
An exciting opportunity has come available for a Client Relationship Administrator to join the growing team at Brightwell. In this key role, you will be responsible for helping to ensure that client governance activity, reporting, contract administration, action tracking, and meeting management are delivered in a structured, timely, and consistent way. Working across internal teams and alongside client-facing colleagues, the role acts as a central point of organisation and control, supporting the effective management of client commitments and enabling the Head of CRM to focus on strategic relationship leadership, senior stakeholder engagement, issue resolution, and commercial development.
The Client Relationship Administrator strengthens the operational effectiveness of the CRM function and improves control over governance activity, contractual obligations, client reporting, and follow-up actions. By providing a consistent and organised support structure, the role helps improve service discipline, visibility of commitments, and the quality of client-facing outputs, while enabling the Head of CRM to focus on senior relationship management, strategic priorities, and growth opportunities.
What you’ll do:
- Maintain CRM trackers, contact records, stakeholder maps, meeting logs, and pipeline information so that information is current, accurate, and easy to access.
- Help identify trends in client feedback, service issues, recurring actions, and reporting themes, escalating insights to the Head of CRM.
- Provide general project, administrative, and organisational support to ensure the CRM function operates in a structured, consistent, and proactive way.
- Support the Head of CRM in planning, scheduling, and coordinating client governance activity, including annual planners, review cycles, meeting timetables, and action logs.
- Prepare packs, agendas, minutes, and follow-up logs for client meetings, governance forums, and internal review sessions.
- Liaise with Client Operations Managers, wider internal Brightwell teams, and clients to coordinate meeting activities and actions.
- Maintain central records of contractual obligations, service commitments, key milestones, deliverables, and renewal dates, highlighting upcoming deadlines and exceptions.
- Work with internal teams to confirm ownership of contractual deliverables, monitor progress, and escalate risks, delays, or issues to the Head of CRM where appropriate.
- Assist in preparing reporting to support contract performance management, client updates, and internal oversight of service obligations.
- Support the administration and coordination of client change activity, including logging requests, tracking approvals, and maintaining relevant documentation.
- Track client issues, actions, decisions, and escalations, ensuring ownership is clear and progress is monitored to completion.
- Support the routine billing process, responding to client queries as required.
- Working with wider teams, ensure we maximise value where possible by providing support with time recording, processes, and training.
- Using data from all clients, identify potential opportunities to upsell and generate value for our clients.

This role would suit someone with:
- Experience in client support, client service, governance support, contract administration, or business coordination roles.
- Strong organisational skills, with the ability to manage multiple priorities, deadlines, and stakeholders.
- Excellent written and verbal communication skills, including the ability to prepare high-quality meeting materials and reports.
- Confidence in tracking actions, maintaining records, and following up with colleagues to ensure delivery.
- Good attention to detail and a structured approach to document, data, and process management.
- Ability to work across teams and build effective working relationships with operational, commercial, and support functions.
- Commercial awareness and an understanding of the importance of client satisfaction, service delivery, and contractual commitments.
- A proactive and collaborative approach, with the confidence to challenge, follow up, and keep activity moving in a professional and constructive manner.

Desirable:
Ideally, experience in pensions, financial services, or another regulated service environment, with familiarity in reporting tools, Microsoft Office, and CRM systems.
