Job title: Client Service Project Manager
Hours of work: 8am – 5pm. Overtime as required

Position Overview
We are seeking a highly organised and client-focused Client Service Project Manager to join our team. In this role, you will serve as the primary point of contact for our clients, ensuring their needs are met while managing the successful delivery of projects from inception to completion. The ideal candidate will have a strong background in project management within the design and production industry, particularly in exhibitions, events, and interiors. You will be responsible for coordinating with internal teams, managing timelines and budgets, and delivering projects that exceed client expectations.
Key Responsibilities
Client Relationship Management
- Serve as the main point of contact for clients, building strong, long-term relationships.
- Understand client objectives and translate them into actionable project plans.
- Regularly communicate project updates, gather feedback, and ensure client satisfaction throughout the project lifecycle.
- Anticipate client needs and proactively offer solutions to enhance their experience.

- Develop detailed project plans, including timelines, budgets, and resource allocation.
- Coordinate with internal teams, including design, production, and logistics, to ensure seamless project execution.
- Monitor project progress, identify potential issues, and implement solutions to keep projects on track.
- Manage multiple projects simultaneously, ensuring all are delivered on time, within scope, and within budget.
Budget Management
- Oversee project budgets, ensuring financial efficiency and alignment with client expectations.
- Prepare cost estimates, track expenses, and manage financial reporting for each project.
- Work with the finance team to ensure accurate billing and timely payments from clients.
Quality Control & Delivery
- Ensure all deliverables meet the company’s high standards of quality and align with client expectations.
- Conduct regular reviews of project milestones and deliverables, making adjustments as needed to maintain quality and meet deadlines.
- Coordinate on-site execution for events and exhibitions, ensuring smooth setup, operation, and teardown.
Team Collaboration
- Collaborate with designers, producers, and other internal stakeholders to align project goals and deliverables.
- Foster a collaborative environment, encouraging open communication and teamwork to achieve project success.
- Lead project meetings, ensuring clear communication and alignment among all team members.
Post-Project Review & Client Follow-Up
- Conduct post-project reviews to evaluate the success of the project and identify areas for improvement.
- Follow up with clients to gather feedback, address any concerns, and discuss future opportunities.
- Maintain and update project documentation and client records.

Qualifications
- Bachelor’s degree in Project Management, Business, Design, or a related field.
- 5+ years of experience in project management within the design, production, exhibitions, events, or interiors industry.
- Proven track record of successfully managing client relationships and delivering projects on time and within budget.
- Strong understanding of design and production processes, with the ability to translate client needs into actionable project plans.
- Excellent organisational skills with the ability to manage multiple projects and priorities simultaneously.
- Exceptional communication and interpersonal skills, with the ability to build and maintain strong client relationships.
- Proficiency in project management methodology and use of software to manage (e.g., Asana, Trello, MS Project) and MS Office Suite.
- Ability to work under pressure, manage tight deadlines, and adapt to changing client needs.
- Strong problem-solving skills and attention to detail.
- Willingness to travel as needed for client meetings and on-site project management.
