Client Services Administrator

Location: Billericay / Hybrid Working
Salary: Competitive
Contract Type: Permanent
Working Hours: 40 hours per week, Monday-Friday

Hours & Shift Patterns:

  • Winter season (October–April): Shift rotation covering 6am–3pm, 8am–5pm, 10am–7pm. Includes weekend working and public holidays (rota basis, with time off in lieu).
  • Off-season (May–September): Monday–Friday, 8am–5pm, no weekend work.

About the Role

At Ground Control, we're looking for a Client Services Administrator to join our Grounds Maintenance division. This is a role where you'll play a key part in delivering an excellent client experience, helping to manage tenders, quotes, purchase orders, and extra works activities. You'll work closely with Key Account Managers, Contract Managers, and clients, building trusted relationships while ensuring processes run smoothly and efficiently.

What you'll do:

  • Help drive a seamless customer experience by keeping information accurate, communication proactive, and workflows moving forward.
  • Coordinate tenders from receipt through to allocation, ensuring opportunities are logged quickly and passed to the right teams to support timely delivery.
  • Review and process quotations, helping to maintain accuracy, consistency, and professionalism before they reach our clients.
  • Keep clients informed throughout the tender and quotation process, building confidence through regular communication and outstanding service.
  • Manage purchase order administration, system updates, and documentation, ensuring information is accurate and work can be delivered efficiently.
  • Support the coordination of extra works by maintaining records, completing key processes, and working closely with Finance and operational teams.
  • Maintain and update client portals, ensuring documentation, links, and project information remain accurate and accessible.
  • Act as a first point of contact for internal and external queries, helping to resolve issues quickly while providing a positive customer experience.
  • Identify opportunities to improve processes, escalate issues where appropriate, and contribute to the continuous improvement of our client service operation.

What we're looking for:

  • Previous experience in an administrative, client services, customer support, or service delivery environment.
  • A highly organised individual who can manage multiple priorities while maintaining attention to detail.
  • Strong relationship-building skills and the confidence to communicate effectively with both clients and internal stakeholders.
  • A proactive problem-solver who takes ownership and enjoys finding solutions.
  • Experience working with systems and data, with good Microsoft Office skills, particularly Excel and Outlook.
  • The ability to work collaboratively across different teams and build trusted working relationships.
  • A customer-focused mindset with a genuine desire to deliver excellent service.
  • Experience within facilities management, grounds maintenance, property services, or a similar service-led environment would be advantageous but is not essential.
