Clinic Coordinator | Central London

£30,000 plus excellent benefits - 27 days holiday, training and development opportunities, wellbeing and retail discounts, pension scheme

Monday - Friday (7am - 3.30pm | 8am - 4.30pm | 9am - 5.30pm)

Join a luxury private healthcare clinic in a client-focused position at the heart of the business.

Based in London, this is a fantastic opportunity to be part of a respected, fast-paced clinic known for providing an outstanding service.

As the Clinic Coordinator, you'll be the first point of contact for clients, ensuring every experience is seamless, welcoming, and tailored to their needs. From managing bookings and handling payments to coordinating diaries, you’ll play a vital role in the day-to-day success of the clinic.

You will be working closely with the Client Concierge within the Client Relations Team.

Your Role:

Pre-visit coordination:

  • Contact clients prior to their appointment to confirm details and share relevant information
  • Ensure client records are accurate, complete, and updated on the system
  • Assist clients with setting up their digital client portal
  • Confirm completion of medical questionnaires and booking forms
  • Upload and verify any previous clinical documents or assessment results

On the day client experience:

  • Greet clients warmly and build rapport throughout their time at the clinic
  • Take lunch orders and coordinate with catering providers
  • Process payments and manage check-out procedures
  • Collect feedback before clients leave
  • Book transportation or hotel accommodation as needed

Post-visit follow-up & administration:

  • Let clients know when they can expect their post-visit report
  • Record confidential and detailed notes in the clinic’s IT systems

Clinic operations & support:

  • Manage appointment bookings and ensure practitioner diaries are coordinated effectively
  • Ensure clinic documentation is maintained to high standards
  • Keep treatment areas fully stocked and operational
  • Support the Clinic Manager with general administrative duties
  • Build strong working relationships with doctors, suppliers, and colleagues

Are you the right fit?

  • Polished, organised, and proactive, with a natural ability to build trust and deliver outstanding service in a clinical environment.
  • Experience in a front-of-house or client-facing role, ideally within a clinic or spa
  • Excellent communication skills, both written and verbal
  • A confident, personable, and professional manner
  • Strong attention to detail and the ability to juggle multiple tasks calmly and efficiently
  • A proactive, team-oriented approach with a willingness to get stuck in
  • Genuine passion for delivering top-tier client service
