Clinic Coordinator / Front of House (Part-Time)

Location: Chiswick, London (W4)

Schedule: 3 days per week — flexible, suited to someone balancing study or other commitments

Job description:

We’re hiring at Chiswick Clinic — but this is not a typical receptionist role.

We are a growing private dermatology and aesthetics clinic in Chiswick, West London, looking for a warm, organised and commercially aware Clinic Coordinator / Front of House team member on a part-time basis.

This role is ideal for someone who enjoys being patient-facing, loves creating a welcoming first impression, and has the organisation to help a high-standard clinic run smoothly behind the scenes. It’s a great fit if you’re looking for part-time hours that can work around studies or other commitments.

The Role

You’ll be the first point of contact for patients and an important part of the overall clinic experience.

Patient Experience & Front of House

  • Welcoming patients warmly and professionally
  • Managing patient arrivals, check-in and check-out
  • Creating a calm, friendly and professional atmosphere
  • Building natural rapport with patients
  • Supporting patient education around treatments, skincare and clinic services

Bookings, Calls & Patient Communication

  • Managing phone calls, emails and clinic enquiries
  • Coordinating practitioner diaries and appointments efficiently
  • Supporting patient flow throughout the clinic day
  • Maintaining accurate patient records and documentation

Clinic Coordination & Operations

  • Keeping the daily clinic flow organised and calm
  • Supporting communication between clinicians, therapists and patients
  • Maintaining clinic systems, documents, templates and checklists
  • Monitoring stock and clinic supplies

Health, Safety & Compliance Support

  • Supporting CQC-related processes and documentation
  • Following clinic health, safety and infection control protocols
  • Maintaining a clean, professional reception and waiting area

We’re Looking For Someone Who Is

  • Professional but approachable
  • Confident using booking systems, shared documents and digital tools
  • Comfortable working in a small, family-run, high-standard clinic environment

Experience & Skills

Essential

  • Strong organisational and administrative skills
  • Excellent spoken and written English
  • Confidence speaking with patients and handling enquiries
  • High attention to detail

Desirable

  • Previous experience in a private clinic, dental practice, private GP or premium hospitality environment
  • Interest in skincare, aesthetics or wellness

Location & Working Pattern

  • Chiswick Clinic, West London (W4)
  • 3 days per week including Saturdays
  • Ideally based locally or within approximately 30 minutes’ travel time of the clinic
