Clinic Diary Coordinator

Hours: 40 hours per week, Full Time (Monday–Friday, 9am–5.30pm, with occasional Saturday cover)
Location: Glasgow City Centre – Office based
Salary: £27,040 – £27,560

We’re looking for an organised, analytical Clinic Diary Coordinator to take ownership of how our clinic appointment diaries are structured and used. You’ll review diaries daily, spot where capacity is being lost to gaps, fragmentation and late cancellations, and take action to recover it. Working alongside our Contact Centre and clinic teams, you’ll make sure appointments are booked into the right slots and that availability reflects what each clinic actually needs — protecting both clinic utilisation and the patient experience.

This is a role for someone who enjoys finding the inefficiency nobody else has noticed and fixing it.

Key Responsibilities:

  • Review and restructure clinic diaries to improve utilisation, reduce fragmentation and maximise available capacity
  • Proactively adjust and consolidate appointments, balancing efficient scheduling against a positive patient experience
  • Work with Contact Centre teams so appointments are booked into optimised slots
  • Maintain accurate records of all diary adjustments
  • Monitor diary performance and escalate capacity risks and scheduling issues to the relevant management teams

Skills & Experience:

  • Strong organisational skills and the ability to prioritise across multiple competing schedules
  • High attention to detail — small diary errors have a direct patient impact
  • An analytical mindset, with a track record of spotting inefficiencies and acting on them
  • Confidence working with scheduling, CRM or telephony systems
  • Clear written and verbal communication, particularly when influencing colleagues in other teams
  • A working understanding of data protection and handling patient information in line with GDPR
