We’re looking for a friendly, organised and professional Receptionist & Front of House Coordinator to join our team from September 2026.

This is a permanent, salaried role for 3-4 full days per week, including pension and holiday pay.

About the role

As Front of House Coordinator, you’ll help support the smooth day-to-day running of the clinic.

Your role will include helping patients feel welcomed and well looked after, supporting enquiries and bookings, taking payments, coordinating the diary, and helping the clinic run calmly and smoothly throughout the day.

The right person will be confident, kind, organised and able to communicate clearly with people who may be in pain, worried, unsure, or looking for guidance about their care.

Who we’re looking for

You may have worked in reception, hospitality, customer service, sales, healthcare administration or another client-facing role.

What matters most is that you are warm, professional, organised and confident communicating with people.

We’re looking for someone with:

  • Excellent interpersonal and written communication skills
  • Confidence speaking with patients in person, by phone, WhatsApp message and email
  • Confidence explaining appointment options, treatment plans and costs clearly and professionally
  • Confidence processing payments accurately and efficiently
  • Good organisational skills and attention to detail
  • Confidence using computer systems, with training provided where needed
  • Experience in hospitality, customer service, reception, sales or a similar client-facing role would be a great advantage

What you’ll be doing

Your responsibilities will include:

  • Welcoming patients and visitors warmly into the clinic
  • Responding to in-person, phone, WhatsApp message and email enquiries courteously and efficiently
  • Arranging appointment bookings and helping patients with appointment queries
  • Explaining treatment plans, appointment options and costs clearly and confidently, in line with practitioner guidance
  • Processing payments accurately and efficiently
  • Supporting patients with general clinic information and helping them feel confident about their care
  • Developing positive rapport with patients and helping them feel supported and committed to their treatment plan
  • Working collaboratively with practitioners and other support team members to help the clinic run smoothly
  • Supporting day-to-day diary coordination, including absences, meetings, room use and practitioner availability
  • Coordinating routine administrative tasks such as stock orders, messages and handovers
  • Opening and/or closing the clinic as required
  • Helping keep the clinic neat, tidy, calm and welcoming throughout the day
  • Supporting clear and professional communication between patients, practitioners and the wider team
  • Upholding Meadowside’s values, standards and professional culture in all patient and team interactions

What it’s like working at our clinic

You will start the day by opening the clinic, checking messages, preparing the reception area and making sure treatment rooms are ready for the day.

You would then spend time greeting patients and visitors, answering calls, responding to WhatsApp and email enquiries, working with the osteopaths to help patients understand and book their treatment plan into the diary, and looking after people waiting in reception — whether they are here for their own appointment or accompanying someone else.

Lunch with the team is an hour long, and may be in the staff kitchen or outside on our picnic bench. We try not to talk “shop” and have a proper break and a chat.

We have regular team huddles and monthly team meetings, which include our Good Egg Award, voted by everyone for the team member who went above and beyond for the team or patients that month.

We hold team days and social events several times a year, so everyone feels aligned and connected.
