The team delivers a wide range of services, including addiction counselling, mental health therapy, family counselling, youth-focused programs, and tailored treatment packages. Job Title: Clinical Administration & Quality Assurance Manager

Hours: Full-time

Location: Remote

Role Description

We are seeking an organised, proactive and supportive Clinical Administration & Quality Assurance Manager to oversee our administrative function within a private healthcare setting. The successful candidate will lead and support the administration team, help ensure that client records and clinical processes are managed accurately and efficiently, and maintain high standards of quality assurance and CQC compliance. They will work closely with clinicians, practitioners, and management to support safe, effective, and person-centred care.

Key Responsibilities

  • Oversee the day-to-day work of the administration team, including workload allocation, support, and performance.
  • Ensure client records, treatment statuses, appointments, discharges, and follow-up actions are accurate, complete, and kept up to date.
  • Monitor administrative processes to ensure clients are appropriately admitted, reviewed, discharged, and closed in a timely manner.
  • Carry out regular quality checks and audits of client records, assessments, care plans, consent forms, discharge documentation, and related clinical administration.
  • Identify missing, incomplete, or overdue documentation and follow up with relevant practitioners and staff.
  • Support the organisation’s compliance with CQC requirements, internal policies, confidentiality, and data-protection standards.
  • Maintain clear systems for document control, reporting, action tracking, and audit outcomes.
  • Assist with preparation for CQC inspections, internal audits, and quality-improvement activity.
  • Work collaboratively with clinical staff to ensure administrative processes support safe and effective client care.
  • Escalate risks, concerns, recurring issues, or gaps in documentation to senior management promptly.
  • Help develop and improve administrative procedures, templates, and workflows.
  • Provide hands-on administrative support when required.

Person Specification

Essential

  • Previous experience in a senior administrative, quality assurance, compliance, or operational role within healthcare.
  • Good working knowledge of CQC standards and expectations.
  • Understanding of clinical documentation, client records, care plans, assessments, and discharge processes.
  • Strong organisational skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent attention to detail and confidence in identifying gaps or errors in records.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with administrative and clinical colleagues.
  • Confident, approachable, and professional leadership style.
  • Commitment to confidentiality, data protection, and high standards of client care.

Desirable

  • Experience working in private healthcare, mental health, addiction services, or a regulated care environment.
  • Experience of conducting audits or supporting CQC inspections.
  • Experience using clinical record systems and booking or practice-management software.
  • Previous experience supervising or managing an administration team.
