About the Role
The Clinical Administrator is an essential position supporting the smooth running of the day-to-day activities of our clinic. The role combines clinical administration, reception and front-of-house responsibilities, ensuring our clients, visitors and clinical team receive a professional, welcoming and efficient service.
You will be responsible for a range of administrative duties, including managing incoming and outgoing correspondence, scheduling appointments, reporting, maintaining organised records and supporting the day-to-day running of the clinic.
As part of the role, you will also provide reception cover, welcoming clients and visitors to the clinic, answering incoming calls and ensuring the reception area and front-of-house experience are well managed.
Main Duties and Responsibilities
- Providing reception and front-of-house cover, welcoming clients, visitors and colleagues in a warm and professional manner.
- Answering incoming calls and responding to general enquiries, directing queries appropriately.
- Supporting the smooth running of the clinic and ensuring reception is appropriately covered during working hours.
- Managing shared inboxes and responding to queries from clients.
- Managing appointments, room bookings and clinical diaries.
- Organising, attending meetings and taking minutes.
- Producing regular and ad hoc reports on clinical operations.
- Updating databases and spreadsheets as required.
- Handling incoming and outgoing correspondence.
- Supporting the psychiatry and physical health team with client letters, clinical reports and transcriptions.
- Providing support with clinical team inductions, including scheduling diaries and meetings.
- Attending the Register Meeting and ensuring actions are followed up with the clinical team.
- Supporting the booking of Modular, Statutory and Mandatory training into the timetable and updating attendance registers accordingly.
- Supporting the completion of audits.
- Pulling reports and analysing data for Clinical Governance, including incidents, complaints, concerns, safeguarding and audits.
- Supporting with complaints and concerns, including drafting letters and supporting investigations.
- Maintaining a professional, welcoming and confidential environment for clients, visitors and colleagues.

Desired Skills and Expertise
- A proactive, hardworking and motivated individual.
- Previous experience in a fast-paced organisation and/or start-up business.
- Previous experience working in a medical, clinical or therapeutic healthcare environment is desirable.
- Previous reception, front-of-house or customer service experience is desirable.
- Experience with diary management and administrative tasks.
- Excellent customer service and communication skills, with a warm and professional manner.
- The ability to function well in a team while also being able to use your own initiative.
- Proactive, organised and able to manage competing priorities.
- Excellent IT skills.
- Ability to meet deadlines and work effectively in a busy environment.
- Ability to maintain strict confidentiality.
- Good spelling and grammar, particularly for clinical letters and correspondence.
- A compassionate and professional approach when interacting with clients who may be experiencing significant difficulties.
