Role Purpose
To support the secure extraction, validation and indexing of confidential clinical records from the OHIMS V3 system as part of Latus' Clinical Records Preservation Programme.
The post holder will be responsible for downloading, organising and validating electronic clinical records to ensure they are accurately transferred into Latus' secure archive whilst maintaining the highest standards of confidentiality, information governance and data quality.
Key Responsibilities
- Download confidential clinical records from the OHIMS V3 platform in accordance with documented procedures.
- Create and maintain client-specific electronic indexes.
- Verify that downloaded records are complete and accurately named.
- Validate downloaded documents against source records.
- Identify and report any discrepancies or missing information.
- Maintain accurate extraction logs and audit records.
- Handle highly confidential personal and medical information in accordance with UK GDPR, the Data Protection Act 2018 and company policies.
- Follow documented project procedures and quality assurance processes.
- Work collaboratively with the Project Manager and Information Governance team to resolve issues identified during extraction.
- Support project reporting by maintaining accurate progress records.
- Ensure all work is completed in line with agreed productivity and quality targets.

Person Specification
Essential
- GCSE (or equivalent) Grade C / Level 4 or above in English.
- GCSE (or equivalent) Grade C / Level 4 or above in Mathematics.
- Good IT and computer literacy skills.
- Experience using Microsoft Office, particularly Excel and Outlook.
- High level of accuracy and attention to detail.
- Ability to follow documented procedures consistently.
- Ability to manage repetitive tasks whilst maintaining concentration.
- Excellent organisational skills.
- Ability to work with highly confidential information.
- Good written and verbal communication skills.
- Reliable and able to meet deadlines.
