About Us
Dr Finlay's Private Practice is a premium UK-based healthcare provider offering specialist services to both national and international clients. We are looking for an exceptional Clinical PA to join our growing team.
This is more than an administrative role. It requires initiative, attention to detail, and confidence working with complex information in a clinical environment. It's a people-first position at the heart of a compassionate, forward-thinking healthcare organisation. You'll help patients access the care they need while supporting our clinicians to deliver an outstanding service.
This is a senior Clinical PA role supporting clinicians within your allocated portfolio, with a particular focus on chronic fatigue and weight loss services. The role requires judgement, synthesis, and initiative, involving AI-supported workflows and the accurate management of supplements, protocols, and multidisciplinary team (MDT) coordination.
Key Responsibilities & Requirements
Clinical & Administrative Support
- Support GPs with complex administrative tasks.
- Manage clinician diaries and appointment scheduling.
- Take payments and organise clinical bookings.
- Maintain accurate digital records and filing systems.
- Liaise with laboratories and external service providers (e.g. chasing results and managing external communications).
- Ensure actions arising from consultations, MDT discussions, and test results are followed up and tracked.
- Create and maintain spreadsheets and trackers for supplements, protocols, and patient pathways.
- Research and source supplements, checking formulations and brands, and confirm accuracy with the clinician before sharing information with patients.
- Liaise with nutritional therapists, physiotherapists, health coaches, and other members of the multidisciplinary team to coordinate patient care.
- Support the continuous improvement of systems, workflows, and processes.

Client Care
- Answer phones and respond to patient enquiries with warmth, professionalism, and clarity.
- Offer practical, non-clinical guidance to patients and help them navigate their care journey.
- Refer urgent clinical matters to the appropriate medical staff or emergency services.
- Treat every patient with empathy, discretion, and respect.
- Contribute ideas to improve the client experience and internal ways of working.
- Attend team meetings and remain up to date with internal training.

Skills & Experience (Required)
- Have at least five years' customer service experience.
- Be passionate about delivering exceptional client care.
- Be confident working in a fast-paced, remote environment while collaborating with a wider administrative team.
- Have excellent verbal and written communication skills.
- Have outstanding organisational and technical skills, including strong proficiency with spreadsheets and Google Workspace.
- Be highly reliable, adaptable, and self-motivated.
Desirable
- Openness to learning and using AI-assisted tools as part of everyday work.
- Experience supporting senior clinicians or executives in complex, fast-paced environments.
- Confidence working with detailed information, clinical protocols, and multiple stakeholders.
- The ability to prioritise effectively, ask thoughtful questions, and work with a high degree of autonomy.
Additional Information
This is a full-time, remote role with flexible working arrangements.
Occasional travel to our Birmingham head office for meetings and training will be required.
