About the Practice

Our client is a private concierge healthcare practice focused on delivering exceptional, personalised care. Combining high clinical standards with a premium, hospitality-led patient experience, the practice prides itself on providing seamless, discreet and attentive service.
They’re looking for an experienced Clinical Practice Manager to become a trusted right hand to the Co-founder and Medical Director, taking ownership of daily operations and helping the practice run smoothly while ensuring every patient receives outstanding care.

The Role

This is more than a traditional office or operations management role. As Clinical Practice Manager, you'll play a pivotal role in the day-to-day running of the practice, overseeing operations, supporting the team, managing finances and compliance, and maintaining the highest standards of patient care.

You'll combine strong organisational skills and sound judgement with a genuine passion for hospitality. From managing schedules and prioritising patient needs to supporting your colleagues and keeping everything running behind the scenes, you'll help deliver an exceptional patient experience.

Working directly with the Co-founder and Medical Director, you'll have the opportunity to take ownership, improve processes and make a meaningful contribution to the practice's continued success.

Key Responsibilities

  • Oversee the day-to-day running of the practice, ensuring operations are organised, efficient and running smoothly.
  • Manage diaries, appointments, schedules and resources, using sound judgement to prioritise patient needs and assess urgency.
  • Act as a trusted partner to the Co-founder and Medical Director, taking initiative, solving problems and keeping daily operations on track.
  • Lead and support the practice team, managing workloads, rotas, performance, training and day-to-day team needs.
  • Ensure patients receive a high level of personalised care, with excellent communication, attention to detail, discretion and timely follow-up.
  • Handle patient enquiries and concerns with empathy and professionalism, ensuring issues are resolved appropriately.
  • Oversee clinical administration, practice policies, compliance, governance, data protection and relevant healthcare regulations.
  • Maintain accurate records, staff documentation, training records and other essential practice information.
  • Manage financial administration, including invoicing, billing, payments, private medical insurance claims and financial reporting.
  • Monitor operational performance, identify opportunities to improve processes and support effective business decisions.
  • Coordinate with clinicians, external suppliers, insurers and other partners to ensure a seamless service.
  • Anticipate challenges, manage logistics and adapt to changing priorities in a busy, patient-focused environment.

What We're Looking For

  • Proven experience in clinical practice management, healthcare operations, clinic management or a similar role.
  • Experience managing people, overseeing daily operations and handling competing priorities.
  • An understanding of healthcare compliance, clinical governance and data protection.
  • Experience with financial administration, billing, invoicing and reporting.
  • Strong organisational skills and excellent attention to detail.
  • Confident communication skills, with the ability to handle sensitive matters professionally and discreetly.
  • Good judgement and the ability to assess priorities, solve problems and make decisions independently.
  • A proactive, hands-on approach, with the confidence to take ownership and anticipate what needs to be done.
  • Flexibility and a willingness to adapt to the needs of an on-site practice.

Experience in private healthcare, concierge services, medical insurance billing or a premium hospitality environment would be a strong advantage.
