Cloud Accounting Executive
Location: Chipping Sodbury
Hours: Full-time, Monday–Friday, 9:00am–5:00pm
Reports to: Client Manager
Role Purpose
The Cloud Accounting Executive is responsible for maintaining accurate and up-to-date financial records for a portfolio of clients using cloud accounting software, primarily Xero, together with Dext and, where required, Sage and QuickBooks Online.
The role focuses on delivering high-quality bookkeeping, VAT preparation, and cloud accounting support whilst building strong client relationships and helping clients make the best use of their accounting systems. This role is central to the efficient delivery of our compliance services, ensuring clients' financial records are maintained accurately throughout the year and providing a reliable foundation for VAT returns, year-end accounts, and tax compliance.
Cloud Accounting Responsibilities
- Maintain bookkeeping records for allocated clients using Xero, with support for Sage and QuickBooks Online where required.
- Process purchase invoices, sales invoices, bank transactions, and journals.
- Complete bank, debtor, creditor, and control account reconciliations.
- Maintain accurate nominal ledgers.
- Ensure client records remain accurate and up to date throughout the year.
- Utilize Dext to process purchase invoices and receipts efficiently.
- Identify bookkeeping errors and investigate discrepancies.
- Prepare year-end information ready for the Accounts & Tax Manager.
Expectation: Client accounting records are accurate, complete, and maintained on a real-time basis, providing a reliable foundation for VAT returns and year-end accounts.

VAT & MTD Responsibilities
- Prepare VAT returns for allocated clients.
- Review VAT transactions for accuracy.
- Resolve bookkeeping queries prior to submission.
- Submit VAT returns following approval.
- Support clients with Making Tax Digital requirements.
- Maintain VAT working papers.
Expectation: VAT returns are prepared accurately, submitted on time, and fully supported by complete working papers.
Client Support & Software Responsibilities
- Support clients using Xero, Dext, Sage, and QuickBooks Online.
- Assist clients with bookkeeping and software queries.
- Promote best practice in the use of cloud accounting software.
- Liaise with clients to obtain missing records and information.
- Build positive working relationships with allocated clients.
Expectation: Clients receive professional, proactive support and gain confidence in their cloud accounting systems.
Team Support
- Prepare information for the Accounts & Tax Manager.
- Assist the Personal Tax & Compliance Assistant where appropriate.
- Support the wider team during busy periods.
- Communicate bookkeeping issues that may impact accounts preparation or tax compliance.
- Maintain organized digital working papers.
Expectation: Accurate information is provided to the wider team, reducing rework and supporting efficient workflow.

Requirements / Qualifications
- Proficiency with cloud accounting software (e.g., Xero, QuickBooks Online, Sage Business Cloud) and related digital tools.
- Solid understanding of UK accounting practices, VAT, and basic tax principles.
- Effective communication and client service skills, with the ability to explain financial information clearly.
- Good organizational and time-management abilities, with attention to detail and accuracy.
- Ability to work collaboratively within a team and adapt to changing client needs.
- Relevant accounting qualification or progress toward AAT/ACCA, or equivalent practical experience.
- Experience in an accountancy practice environment is beneficial but not essential.
