Coordinator – Voids, Buy Backs and Disrepair
Location: Tower Hamlets
Full time / Permanent
Salary: £32,000
Hours: 42.5 hours Monday - Friday
Mears is looking for a Coordinator to support our Tower Hamlets contract. You will help plan and track works across void properties, buy-back properties, and disrepair cases, making sure the right people have the information they need and work progresses to agreed timescales.
This is a busy role at the centre of the service. You will work closely with supervisors, operatives, subcontractors, administrators, and the client, while keeping residents informed where works take place in occupied homes.
Duties:
- Schedule operatives and subcontractors across voids, buy backs, and disrepair works, taking account of priorities, availability, access, and job requirements.
- Monitor each job from instruction through to completion, identifying delays and escalating issues promptly to the relevant supervisor or manager.
- Arrange appointments and access where needed, and provide clear, timely updates to residents, the client, and colleagues.
- Track outstanding work, follow-on tasks, cancelled appointments, and overdue jobs so that actions are picked up and records remain current.
- Ensure accurate record-keeping and collation of safety certifications.
- Keep planning and job management systems accurate, including work order status, operative updates, and schedule of rates information.
- Liaise with supervisors and subcontractors to help resolve scheduling issues, changes in scope, and other barriers to completion.
- Support the collection and recording of job information and completion evidence in line with contract processes.
- Work with the wider team to meet service targets and deliver a professional, customer-focused service.
- Provide cover for other coordinators and attend relevant team meetings and training.

- Experience in planning, scheduling, or coordinating repairs and maintenance works.
- Experience in social housing or a similar property maintenance setting.
- Strong organization skills and the ability to manage competing priorities in a fast-paced environment.
- Confidence using job management systems and Microsoft Office applications to maintain accurate records and monitor progress.
- Clear communication skills when working with residents, tradespeople, subcontractors, and clients.
- A calm, practical approach to resolving problems and handling challenging conversations.
- GCSEs or equivalent in English and Maths.
- Experience coordinating voids, buy backs, or disrepair works would be particularly useful.
