Job Overview
To provide a comprehensive, high-quality medical secretarial and administrative service to the consultant, their medical team, specialist nursing teams, and other health professionals. To coordinate and maintain arrangements to facilitate the patient's progression along a defined pathway in accordance with Cervical Screening Wales. To maintain the colposcopy organization and monitor the workload related to the administration team, coordinating administration cover during periods of leave across the team.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main Duties of the Job
- Working with the team, the post holder will support the key performance indicators set for each specialty and make decisions in prioritizing workloads and agreeing escalation procedures to meet these key performance indicators.
- Convey these findings and be proactive in taking forward recommendations and improvements to the service delivery.
- Deal with relevant correspondence, telephone, or personal enquiries efficiently and effectively.
- Contribute to projects or duties to ensure excellent service delivery as directed by the Line Manager, Consultant, or other colleagues.
- Provide assistance in the training of new starters and development of secretarial team members, promoting and building positive relationships within the medical secretarial team, patients, service users, and all BCU employees.
- When applicable, have the ability to coordinate duties and tasks remotely as a Medical Secretary could be at various locations across the Health Board.
- Work with the line manager to instigate/agree escalation procedures where standards fall below a satisfactory level and agree new interim Key Performance Indicators.
- Undertake any additional duties and responsibilities to ensure that service delivery is effectively.

Qualifications
Essential criteria
- NVQ Business Administration Level 4 or equivalent experience
- City & Guilds AMSPAR Level 3 or Diploma in Medical Administration or equivalent medical secretary experience
- RSA/OCR Level 3 or equivalent experience or qualification in typing
Desirable criteria
- Management qualification or working towards
- ILM Level 2 (or working towards). Relevant equivalent qualification
Skills
Essential criteria
- Excellent communication skills
- Advanced typing skills
- Excellent organizational skills
Desirable criteria
- Previous NHS Experience
Knowledge
Essential Criteria
- Knowledge and ability to use Microsoft Office applications
