About the Role

We are seeking an organised and proactive Support Secretary/Administration Officer to join our Colposcopy Service. This important role provides comprehensive, high-quality secretarial and administrative support to the Colposcopy team and wider service.

The successful candidate will work closely with Cervical Screening Wales, Colposcopists, Senior and Lead Colposcopy Nurses, Cytology Nurses, GPs, and patients, ensuring effective communication and smooth service delivery. The post holder may also support and participate in relevant Multi-Disciplinary Team (MDT) meetings.

You will be responsible for managing and prioritising your own workload, using your experience and initiative to provide efficient administrative support in a busy clinical environment.

We are looking for someone with excellent organisational, communication, and administrative skills, who can work independently while contributing positively to a dedicated healthcare team.

This post is fixed term/secondment from October 2026 to October 2027 to cover maternity leave. Anyone wishing to apply for the post as a secondment must seek approval from their Line Manager before applying.

Key Responsibilities

  • Input data on a daily basis, operating CANISC
  • Participate where necessary in other services run within the department
  • Undertake typing of correspondence, including clinic letters, medical reports, statistics etc, using audio equipment, for clinical staff within the service.
  • Use information technology available to provide a comprehensive and efficient service, using Word, Excel, Power Point, Myrddin and Specific service databases as directed.
  • Participate with preparation of audits by collection of notes and transferring information onto spreadsheets as directed.
  • Retrieve notes from file on a daily basis for diagnostic purposes
  • Make appointments and organise meetings as required to attend meetings and take minutes as required
  • Support staff in the organisation/attendance of Multi Disciplinary Team meetings
  • Ensure the daily management of pathology results for patients, liaising with relevant Medical Staff, Lead Nurse regarding any correspondence to patients
  • Deal with sensitive and emotive issues which will require the use of diplomatic, discrete, sensitive, mature and professional skills at all times
  • Ensure that principles of Data Protection, Caldicott Standards and Confidentiality are followed at all times
  • Liaise with internal and external agencies as required
