9-month maternity cover - Commercial Administrator
BIGGA (the British and International Golf Greenkeepers Association) is the UK’s leading professional association for golf greenkeepers and turf management professionals. It supports members through education, training, networking, and professional development.
The Commercial Administrator plays a key part of BIGGA’s Commercial & Marketing Department, and the core purpose of the role is to lead on our in-house recruitment advertising service, support processing exhibitor stand bookings, and assist other departmental projects throughout the year.
Areas of Responsibilities:
- Help drive and reach sales targets across commercial projects
- Support the Commercial Director and Commercial Manager with all commercial activities and events
- Provide administrative support to the Commercial & Marketing team
Responsible for:
1. Recruitment Advertising Service
- Manage all correspondence received into the company info@ inbox and disseminate to team members
- Answer inbound recruitment calls or emails promptly
- Raise booking forms and sort signatures from golf clubs
- Upload online job adverts to the BIGGA website and arrange magazine adverts where necessary
- Manage online recruitment adverts received online via the BIGGA website
- Process immediate payments or schedule for invoice payment
- Register transactions on the CRM system

2. BIGGA Turf Management Exhibition (BTME)
- Process exhibitors' stand booking forms and schedule for invoice
- Maintain internal and third-party contractor spreadsheets
- Update the exhibition floor plan
- Populate the exhibitor portal
- Answer inbound BTME calls or emails promptly
3. Support Commercial Director and Commercial Manager
- Assist with tasks set
- Attend meetings where necessary
4. Administration
- Input and process sales order forms and liaise with the relevant department
- Input sales orders to spreadsheet
- Learn and efficiently utilize CRM system
- Source advertising and editorial content from clients
- Prepare reports and spreadsheets when guided
- Raise contracts and liaise with clients for signing
- Support other departments with workload where necessary

Additional Responsibilities:
- Attend member events as directed
- Recommend ideas for improvement and highlight any problems
- Plan work effectively to meet department goals and objectives
Person Specification:
- Computer literacy with an understanding of Microsoft products
- Experience in a customer service-facing role
- Able to multi-task and meet deadlines
- Interpersonal abilities
- Administration experience
- Initiative and willingness to learn
- Able to establish and maintain good working relationships with other departments, members, clients, and suppliers
- Good organizational skills
- Able to work in the office Monday – Friday
- Good attention to detail
