Location: Aberdeen, (Hybrid Working)

Reporting to: Commercial Manager

We are seeking a highly organised and proactive Commercial Administrator to join our dynamic Commercial Team. Reporting to the Commercial Manager this role will provide administrative support across the Company’s commercial activities, including supplier and customer onboarding, contract administration, bids and proposals, commercial records and customer relationships.

Key Responsibilities:

  • Provide comprehensive administrative support to the Commercial Team, including document preparation, data entry, record keeping and reporting.
  • Support supplier and customer onboarding, including vendor registrations, KYC checks and maintenance of approved-vendor and customer records.
  • Assist with the contract administration, including maintaining contract records and monitoring relevant dates, renewals and actions.
  • Maintain and update commercial records, databases and CRM systems.
  • Support the preparation of bids, tenders, proposals and project documentation.
  • Liaise effectively with internal departments, customer suppliers and other external stakeholders to ensure timely and accurate communication.
  • Provide administrative support to the business development, marketing and legal functions as required.

Requirements:

  • Previous experience in an administrative or commercial support role.
  • Strong organisational skills with excellent attention to detail.
  • Proficient in Microsoft Office applications, particularly Word, Excel, Outlook and PowerPoint.
  • Comfortable maintaining accurate records and working with CRM or other business systems.
  • Ability to manage multiple tasks and meet deadlines.
  • Excellent communication and interpersonal skills.
  • A proactive and flexible approach to work.

Desirable:

  • Experience in an energy, marine, construction, engineering, or similar commercial environment.
  • Experience of supplier or customer onboarding, procurement, contract administration, KYC or tender support.
  • Experience using CRM or comparable business-management systems.
  • Knowledge of procurement or contract administration.
