We're looking for an organised and proactive Commercial Administrator to join our Procurement and Support Services team in Holbeck, Leeds. This is an excellent opportunity for an experienced administrator with a background in procurement, purchasing or supply chain support to play a key role in supporting our operational and project teams.
Reporting into the Procurement function, you'll help ensure the smooth and efficient delivery of purchasing activities, supplier onboarding and compliance processes while supporting stakeholders across the business.

The Role
The Commercial Administrator will provide essential administrative support to the procurement team, helping to ensure purchasing activities are delivered efficiently and in line with company policies and procedures.

You'll be responsible for raising purchase orders, supporting supplier onboarding activities, maintaining supplier records and ensuring compliance documentation remains accurate and up to date. The role will involve working closely with suppliers, project teams, depot staff and finance colleagues across the business.
Key Responsibilities
Procurement Administration
- Raise and manage purchase orders through Sage for business and project requirements
- Support purchasing activities across operational and project teams
- Manage procurement enquiries and maintain effective communication with stakeholders
- Liaise with finance teams regarding supplier invoices and purchase order requirements
- Produce procurement and supplier reports using Sage and internal systems
Supplier Onboarding & Compliance
- Coordinate supplier onboarding activities, including issuing PQQ packs and collecting required documentation
- Review supplier submissions and ensure approval requirements are met
- Manage supplier approval workflows involving management, directors and HSEQ teams
- Maintain approved supplier databases and ensure records remain accurate
- Monitor supplier compliance documentation, certifications and insurance renewals
- Proactively obtain updated compliance information from suppliers as required
Stakeholder Support & Reporting
- Support operational teams, depot staff and project managers with procurement queries
- Provide updates on supplier onboarding progress to key stakeholders
- Maintain accurate procurement records and auditable documentation
- Support continuous improvement of procurement processes and controls
- Ensure procurement activities align with company governance requirements
About You
You'll be a highly organised administrator with experience supporting procurement, purchasing or supply chain activities. You'll enjoy working with multiple stakeholders, managing detailed processes and ensuring information is accurate and compliant.

Essential Experience
- Previous experience in a Procurement Administrator, Purchasing Administrator, Supply Chain Administrator or similar role
- Experience raising and processing purchase orders
- Experience managing supplier onboarding activities
- Experience maintaining supplier databases and records
- Experience monitoring supplier compliance documentation and renewals
- Experience liaising with suppliers, operational teams and finance departments
- Experience using Sage or similar ERP, procurement or finance systems
- Experience producing procurement or management reports
- Experience working within a fast-paced administrative environment
Essential Skills
- Strong administrative and organisational skills
- Excellent attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Strong communication and stakeholder management skills
- Proficiency in Microsoft Office, particularly Excel, Word and Outlook
- Ability to maintain accurate records and documentation
- Strong problem-solving and decision-making skills
- Ability to work collaboratively across departments and with external suppliers
- Good understanding of procurement and purchasing processes
Desirable Experience
- Experience within a procurement, purchasing or supply chain environment
- Experience within construction, engineering, transport or project-based industries
- Experience supporting supplier accreditation or compliance activities
- Knowledge of HSEQ processes and supplier governance requirements
