Job Title: Administration Assistant

Business Unit: SPT Projects
Location: Cambuslang Office
Rate: Negotiable, inside IR35

Job Purpose Statement

The Commercial Administrator role will be responsible for supporting the implementation of Thinkproject Contracts (previously CEMAR) software tool with SP Transmission. The tool is used to manage our contracts and commercial communication with Contractors. The role will build strong working relationships with various SPT departments, including our supply chain partners.

It will include supporting the Commercial Team by managing the Thinkproject mailbox, undertaking all administrative/onboarding obligations & deliverables in Thinkproject, overseeing the effective implementation of the Contract Management tool.

Supporting with regular internal governance to ensure data is relevant for reporting purposes.

Accountability Statements

  • Support, maintain and update Thinkproject mailbox.
  • Work and collaborate across SPEN to assist in the commercial obligations of Thinkproject.
  • Be a Super-User for Thinkproject Tool.
  • Assist the Commercial team with project creation in Thinkproject.
  • Feed in/assist in any lessons learned initiatives.
  • Regular governance of Thinkproject system.
  • Willingness to learn new skills out with experienced area.
  • Assist with implementation of "Business As Usual" process for Thinkproject

Dimensions

  • The scope of the role will cover SPEN Transmission Major Project Programmes.
  • Following implementation of suitable training, the role will require the ability to work unsupervised and to tight timelines as part of overall project plan.
  • Ability to communicate and influence across departments within SPEN.
  • Ability to work with large and complex data sets, across multiple systems and sources of data.
  • Work may require attendance at other Scottish Power locations.

Skills, Knowledge & Experience

  • Experience managing a software tool within a large industrial or commercial organisation.
  • Excellent numerical and analytical skills.
  • Good written and verbal communication skills and proficient in the use of office software including Microsoft Word, Excel, PowerPoint, and email.
  • Proficient in the use of business IT applications. Experience on SAP and PowerBI/Business Objects would be beneficial.
  • A general appreciation of commercial and Quantity Surveying practices and principles.
  • Ability to form effective working relationships with other individuals, departments, and businesses.
  • Excellent organisational skills working across teams.

Planning & Organising

  • Manage and plan your workload to ensure compliance with the demands/requirements of the various obligations/tasks.
  • Provide information and plans to support daily and long-term activities.

Internal and External Relationships

Collaborate with colleagues to gather information, namely:

  • Quantity Surveyors.
  • Project Managers.
  • Site/Construction Managers.
  • Finance Analysts.

Minimum Criteria (mandatory)

  • A background in financial management and analysis.
  • Experience of the governance practices within a large industrial or commercial organisation.
  • Excellent numerical and analytical skills.
  • Good written and verbal communication skills and proficient in the use of office software including Microsoft Word, Excel, PowerPoint, and email.
  • Ability to form effective working relationships with other individuals, departments, and businesses.
