Legal Secretary – Property Team

We are seeking to recruit an experienced Legal Secretary to join our Property Team which deals with both Commercial and Residential Property transactions. Previous Commercial and Residential Property experience is essential; however, we welcome applications from any candidates who demonstrate the skills, professionalism and aptitude required to succeed in the role.

This is an excellent opportunity for an experienced Secretary to join a busy and supportive Property Team.

Working closely with the fee-earners, you will provide high-quality administrative and secretarial support to assist with the smooth and efficient progression of Property transactions.

You will play an important role in ensuring files are well organised, deadlines are met, and clients receive a professional and friendly service throughout.

Key Responsibilities

  • Providing comprehensive secretarial and administrative support to the Property Team
  • Preparing, formatting and processing correspondence and legal documentation
  • Opening, maintaining and closing files
  • Liaising with clients, estate agents and other third parties
  • Handling telephone and email enquiries in a professional manner
  • Assisting fee earners with the progression of Commercial and Residential sales, purchases, remortgages and other Property transactions
  • Requesting and monitoring searches, property information and other documentation
  • Assisting with exchange and completion processes and ensuring relevant parties are kept updated
  • Maintaining accurate records and ensuring the case management system is kept up to date
  • Monitoring key dates, deadlines and outstanding information
  • Assisting with post-completion administration where required
  • Providing a high level of client service and ensuring clients receive timely updates
  • Supporting the Property Team with general administrative duties as required

Candidate Requirements

The successful candidate will ideally have:

  • Previous experience working as a legal secretary, ideally within a Property Department in a Solicitors’ Practice
  • Good knowledge and understanding of Property transactions
  • Excellent administrative and organisational skills
  • Strong attention to detail and accuracy
  • Excellent written and verbal communication skills
  • The ability to prioritise workload and manage competing deadlines
  • A professional, friendly and approachable manner
  • Strong IT skills
  • The ability to work effectively as part of a busy and supportive team
  • A genuine commitment to providing excellent client service
