About The Role
This role is responsible for supporting the Commercial Contracts Manager in the administration, coordination, and governance of customer contracts throughout their lifecycle. The Contracts Coordinator will own the full contracts workflow, ensuring new orders are logged, tracked, and progressed promptly, with all contractual documentation, approvals, and signatures completed in line with internal governance requirements prior to contract go-live.
Key duties and responsibilities are:
Contract Administration & Coordination
- Coordinate contract requests from initiation through to execution and go-live, acting as the owner of the contracts workflow and ensuring all required documentation, approvals, and supporting information are completed.
- Track the progress of all customer contracts and proactively engage stakeholders to obtain outstanding information, approvals, or documentation.
- Ensure all executed contracts and supporting documents are stored and maintained in accordance with internal governance standards.
- Act as a key point of contact for contract administration queries across the business.
Contract Database Management
- Take ownership of the contracts repository/database, ensuring all customer contract records and associated commercial, operational, and contractual data remain accurate, complete, and up to date.
- Conduct regular audits of contractual records to maintain data quality and identify missing documentation or discrepancies.
- Support continuous improvement of contract management processes, reporting, and database effectiveness.
Contract Preparation and Lifecycle Support
- Prepare standard contractual documents using approved templates and processes including contract variations, cloud order forms, renewals, and terminations.
- Complete first-pass reviews of contractual documentation, ensuring accuracy, completeness, and consistency while identifying missing information, documentation gaps, and deviations from standard templates.
- Support the review of customer contract mark-ups by identifying variations from standard contractual positions and highlighting these for further review.
- Develop an understanding of contractual terms, commercial risks, and customer requirements through on-the-job training and mentoring.
- Progressively undertake more complex drafting, contract review, and document preparation activities as experience and capability develop.

Commercial Governance & Compliance
- Support adherence to contract governance processes, approval frameworks, and document control standards.
- Assist with internal audits and compliance reviews relating to customer contracts and contract records.
- Maintain template documentation, standard forms, and supporting contract administration materials.
- Ensure contractual documentation is retained and archived in accordance with company policies.
Stakeholder Support
- Work closely with Sales, Finance, Delivery, and Commercial teams to coordinate contract-related activities.
- Provide regular contract status updates and reporting to internal stakeholders.
- Support onboarding activities by ensuring contractual information is complete and available to operational teams.
- Assist the Commercial Contracts Manager with ad hoc commercial, contractual, and administrative activities as required.
Education, Skills, Knowledge and Experience
- Previous experience in a Contracts Administrator, Commercial Administrator, Sales Support, Legal Administration, or similar business support role.
- Experience maintaining databases, records management systems, or contract management platforms.
- Strong administrative and organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent attention to detail and commitment to accuracy.
- Strong written and verbal communication skills.
- Familiarity with CRM systems (e.g., Salesforce or Dynamics 365) would be beneficial.
- Proficient in Microsoft Office applications, particularly Word and Outlook.
- Experience working with confidential and commercially sensitive information.
- Ability to work effectively across multiple teams and stakeholder groups.
- Understanding of contract lifecycle management processes would be advantageous.
- Knowledge of Managed Services, Technology, or Professional Services environments would be beneficial but not essential.
