As a major partner of Amazon and Santander, we specialize in helping brands looking to sell globally become compliant with European regulatory requirements. Our flagship software is revolutionising regulatory compliance for the FMCG/Health and Wellness industry.
We are seeking a Commercial Coordinator to help us respond to inbound enquiries much faster and more commercially. This role covers HubSpot lead handling, follow-up communication, product demos, and quoting, combining a strong working knowledge of Bridge with a technical and regulatory grounding that gives prospects confidence from the first conversation.
Role Overview:
As the Commercial Coordinator at Rubicon Bridge, you will hold responsibility for the speed and quality of our response to inbound enquiries, ensuring leads are processed in minutes and hours rather than days and weeks. Reporting directly to the Chief Growth Officer, you will own inbound lead handling within HubSpot, run product demos, raise quotes, and support client visits where your technical and regulatory background adds value to the commercial conversation. You will play a key role in making sure every prospect speaks to someone who understands both their compliance problem and how Bridge solves it.

Key Responsibilities:
- Own and action inbound leads as they land in HubSpot, ensuring every enquiry is picked up promptly.
- Send timely, well-informed follow-up emails to inbound enquiries.
- Make outbound calls to inbound leads to qualify interest and move conversations forward quickly.
- Support and run product demos for prospects, explaining Bridge’s capabilities clearly and confidently.
- Raise accurate, timely quotes for prospective customers.
- Maintain clean, up-to-date records and pipeline stages within HubSpot for all inbound activity.
- Support client visits where relevant, particularly where a technical and regulatory perspective adds credibility to the commercial conversation.
- Work closely with the wider Commercial team to ensure a consistent, joined-up experience for every inbound enquiry.
- Create, Monitor and Provide regular updates and reports on key KPI’s performance to management.
- Work closely with the leadership team to align lead handling priorities with strategic objectives.

- Attention to Detail – Ensuring accuracy across quotes, records, and CRM data.
- Problem-Solving – Proactive in resolving prospect queries and removing blockers to conversion.
- Communication Skills – Clear and confident written and verbal communication, including on calls and demos.
- Process Discipline – Ability to follow and improve a consistent inbound handling process.
- Discretion & Confidentiality – Especially when handling customer and prospect information.

Qualifications & Experience
- A technical and regulatory background, or demonstrable understanding of compliance issues facing supplement and food brands.
- Proven experience in a commercial, sales support, or customer-facing coordination role.
- Experience using HubSpot or a similar CRM is an advantage.
- Confident communicator, comfortable on calls and running product demonstrations.
- Strong knowledge of Microsoft Office 365 and other productivity tools.
- Demonstrated ability to manage a high volume of enquiries while maintaining accuracy and pace.

- Inbound leads contacted within 4 working hours of enquiry.
- Accuracy and timeliness of quotes and HubSpot pipeline data.
- Conversion rate of inbound enquiries through the pipeline.
- Prospect feedback on speed and quality of first response.
- Achievement of inbound response objectives in alignment with company growth targets.
