Commercial Coordinator - UK Regional Sales Team & Moxy Edinburgh Airport

The Person

The Commercial Coordinator is the central coordination point for the UK Sales team, keeping information, reporting and administration organised and moving. You will be confident working with data, highly responsive and comfortable balancing team priorities while supporting the Director of Sales and wider Regional Sales team.

This is a varied commercial role combining sales coordination, reporting, RFP support and team administration. You will help create consistency across the team, make it easier for sales colleagues to focus on customers and ensure key deadlines, trackers and follow-up actions are managed accurately.

Alongside regional responsibilities, approximately 20-25% of the role will be dedicated to proactive sales activity for Moxy Edinburgh Airport, including lead generation, account development, customer engagement and support for the hotel’s commercial objectives. The role is based within the UK portfolio, with occasional travel to hotels, team meetings, client events or commercial activities as required.

The Job

  • Act as the central point of contact for the UK Sales team, coordinating requests, deadlines, information and follow-up actions.
  • Produce and maintain weekly and monthly sales reports, dashboards, trackers and performance summaries for the Director of Sales and Regional Sales team.
  • Support the monthly reporting cycle by gathering updates, checking data quality, consolidating commentary and preparing clear, accurate reporting packs.
  • Coordinate RFP activity, including logging opportunities, gathering hotel responses, checking completion, chasing outstanding information and supporting final submissions.
  • Maintain key sales calendars, submission deadlines, team action logs, account lists, contact records and shared folders so information is current and easy to access.
  • Prepare presentations, proposals, briefing documents, meeting packs and templates in line with company standards.
  • Support the evaluation, qualification and distribution of sales leads, ensuring ownership and next steps are clearly recorded.
  • Prepare and finalise contracts and supporting documents for approval and signature, maintaining an accurate record of progress.
  • Coordinate team meetings, sales calls and commercial reviews, including agendas, pre-reads, minutes and action tracking.
  • Provide administrative support to the Director of Sales, including diary coordination, meeting preparation, document collation and follow-up on agreed actions.
  • Support sales projects and campaigns by coordinating communications, hotel participation, data collection, incentives, results and recognition updates.
  • Manage practical team administration such as purchase orders, invoice tracking, expense collation, supplier paperwork, travel coordination and event logistics where required.
  • Assist with onboarding new Sales team members by coordinating access requests, induction materials, training schedules and key contacts.
  • Complete sales research and identify potential opportunities, contacts and market intelligence to support proactive selling.
  • Use CRM, SFA Web, Opera and other company systems to manage leads, maintain records and track performance.
  • Work with Revenue, Marketing, Finance, Operations and hotel teams to collect information and keep commercial activity aligned.
  • Provide support to Group Reservations and hotel teams during busy periods or for specific projects, where required.
  • Handle commercially sensitive information with discretion and maintain confidentiality at all times.

Moxy Edinburgh Airport Commercial Support

  • Support delivery of the sales plan for Moxy Edinburgh Airport through proactive sales activity and account development.
  • Identify and qualify new business opportunities across relevant corporate, crew, project and group segments.
  • Conduct outbound sales calls and customer outreach campaigns to generate leads, appointments and new account opportunities.
  • Support local account management by maintaining contact plans, following up activity and identifying opportunities to increase production.
  • Participate in client meetings, site visits, networking events and hotel showcases where appropriate.
  • Support lead management, proposal preparation and follow-up to maximise conversion opportunities.
  • Work closely with the hotel, Revenue and Operations teams to align sales activity with business need and commercial priorities.
  • Provide regular updates on pipeline activity, conversion, key account opportunities and sales outcomes.

Maintaining Business Goals

  • Maintain complete, accurate and up-to-date sales data, trackers and lead response information.
  • Create a consistent reporting rhythm across the Sales team and highlight missing, overdue or inconsistent information promptly.
  • Track and report relevant KPIs, including lead activity, conversion, account production, sales activity and revenue contribution.
  • Identify opportunities to simplify administration, improve templates and create more efficient team processes.
  • Support the team in meeting RFP, reporting, contracting and project deadlines.
  • Track and report Moxy Edinburgh Airport sales activity, pipeline, conversion and revenue contribution.
  • Build a consistent prospecting and account-development rhythm for Moxy Edinburgh Airport.

  • Director of Sales and Regional Sales team.
  • National Account Managers, Sales Managers and hotel-based commercial teams.
  • General Managers, including the Moxy Edinburgh Airport leadership team, Revenue, Marketing, Finance, Operations and Group Reservations.
  • Marriott sales contacts, customers, suppliers and external partners as required.

Education and Professional Certification

  • High School diploma or equivalent required
  • Previous experience in sales coordination, commercial administration, executive support, hotel operations, reservations or a similar role is preferred.
  • Hotel, travel, hospitality or multi-property experience is advantageous.
  • Experience supporting RFPs, reporting cycles, contracts or sales systems would be beneficial.
