Job Type: Full time - 12 month fixed term contract

Location: Malvern, Worcestershire (Hybrid, minimum 2 days per week in the office)

About The Role

As a Commercial Executive Assistant, you will provide proactive, high-quality support to senior leaders across our Commercial organisation, including the VP Sales & Applications, VP Marketing & Communications, and VP Customer Services. Working closely with executive stakeholders, you will play a critical role in ensuring the smooth operation of day-to-day activities, managing priorities, coordinating complex schedules, and supporting key business initiatives.

This role combines executive support, stakeholder coordination, event planning, and operational administration. You will be a trusted partner to senior leaders, helping them maximise their effectiveness while maintaining professionalism, discretion, and attention to detail at all times.


What You'll Be Doing

  • Managing complex calendars, meetings, and changing priorities for Commercial Executive Management Team members
  • Coordinating domestic and international travel, including flights, accommodation, transportation, and itineraries
  • Organising meetings, customer visits, leadership visits, workshops, and commercial events
  • Preparing presentations, documents, agendas, and supporting materials for executive meetings
  • Coordinating expense claims and supporting approval processes for leaders and their teams
  • Acting as a key point of contact for internal stakeholders and supporting communications on behalf of executives
  • Following up on actions, approvals, and requests to ensure timely completion
  • Providing cover and support for the Business Operations Executive Assistant when required and collaborating with the wider Executive Support team

About You

  • Typically 5 years' experience in a Personal Assistant, Executive Assistant, or similar senior administrative role
  • Strong organisational skills with the ability to manage multiple priorities and deadlines effectively
  • Ability to work independently with minimal supervision while maintaining a proactive approach
  • Excellent planning, coordination, and time management skills
  • Strong communication skills with excellent written and spoken English
  • High levels of discretion and experience handling sensitive and confidential information
  • Proficient with digital tools and office technologies
  • A collaborative team player who builds positive relationships across all levels of the organisation
  • Flexible in approach, with the ability to accommodate occasional early starts or late finishes when required
