Job Description: Commercial Operations Coordinator

The Opportunity

Glenalmond College is entering an exciting period of commercial growth, expanding its external partnerships, residential programmes, holiday activities, events, and wider commercial opportunities. As Commercial Operations Coordinator, you will play a central role in ensuring these initiatives are delivered professionally, efficiently, and to the high standards expected of the College.

Working closely with the Head of Commercial Development, Partnerships & Alumni, you will provide executive-level support while coordinating the day-to-day operational administration of the department. This is a varied, hands-on position for someone who enjoys solving problems, building relationships, and bringing order to a fast-moving environment. No two days will be the same. The role is intended to be self-funding through the work of the team by the end of 12 months.

Role Purpose

To provide comprehensive operational and administrative support to the Commercial Department, ensuring commercial opportunities are efficiently coordinated from enquiry through to delivery. The postholder will become a key point of contact across the College, working collaboratively with internal departments and external partners to support successful commercial activity while enabling the Head of Commercial, Partnerships & Alumni to focus on strategic growth.

Line Management

Reports to: Head of Commercial Development, Partnerships & Alumni

Key Duties & Responsibilities

  • Manage the commercial diary, coordinating meetings, site visits, events, and operational priorities.
  • Manage the commercial booking platform, maintaining accurate availability, bookings, and customer records.
  • Prepare quotations, contracts, booking documentation, and associated correspondence.
  • Coordinate external lets, holiday programmes, and residential bookings from enquiry through delivery.
  • Liaise with Catering, Housekeeping, Estates, Sports Centre, and other departments to ensure facilities and services are prepared.
  • Maintain document control, commercial records, and operational procedures.
  • Support VIP visits, partnership meetings, and commercial events both on and off site.
  • Respond to commercial enquiries and act as a professional first point of contact.
  • Monitor occupancy, bookings, and key operational data, producing reports where required.
  • Oversee any retail operations that support commercial activity.
  • Represent the Commercial Department professionally when required.
  • Undertake other duties consistent with the needs of a growing commercial department.

What Success Looks Like

Success in this role will be measured by the smooth delivery of commercial activity, excellent internal and external relationships, accurate administration, and the ability to proactively keep projects moving. The successful postholder will become a trusted operational partner who enables the Commercial Department to grow by ensuring the detail is consistently delivered to an exceptional standard.

Person Specification

Essential

  • Experience in operations, project coordination, events, hospitality, administration, or a comparable environment.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication. Confidence using Microsoft Office and digital booking systems.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Professional, discreet, and customer-focused approach.
  • Positive, proactive, and adaptable. Prepared to 'roll up your sleeves' and support wherever required. Builds strong working relationships across departments. Comfortable working independently and exercising judgement appropriate to experience. Calm under pressure with a solutions-focused mindset. Committed to continuous improvement and personal development.

Desirable

  • A recognised qualification in business management, hospitality, events management, or other relevant area.
  • Knowledge of independent schools and charities.

Terms & Conditions

  • Contract: Full Time, Whole Time (Initial Fixed Term for 12 months).
  • Location: Glenalmond College

Salary Scale

  • Salary: £28,000 to £30,000
  • Pension: The College provides a defined contribution pension.

Other Benefits

  • Fee concessions are available for staff children who attend Glenalmond, and there are various reciprocal arrangements with local Prep schools.
