We are looking for a proactive, organised and detail-driven Commercial Property Secretary to join our expanding team. This is a fantastic opportunity to provide high-quality administrative and secretarial support to experienced commercial property professionals while contributing to the smooth running of a high-performing department.

In this role, you will be an essential point of contact for clients, surveyors, solicitors and other professional contacts. You will manage key information, coordinate property-related activities and ensure that documents, correspondence and records are prepared accurately and efficiently.

Responsibilities:

  • Provide comprehensive secretarial and administrative support to the commercial property team.
  • Prepare, format and proofread reports, property particulars, letters, contracts and other professional documentation.
  • Manage diaries, arrange meetings, coordinate appointments and organise travel where required.
  • Act as a first point of contact for clients, tenants, landlords, solicitors and other external contacts, ensuring a friendly and professional service.
  • Manage incoming calls, emails and correspondence promptly and accurately.
  • Maintain accurate property, client and transaction records in internal databases and systems.
  • Assist with commercial property transactions, including sales, lettings, lease renewals and other agency activities.
  • Coordinate property viewings, inspections and appointments with clients, surveyors and other parties.
  • Prepare and distribute property marketing materials and maintain accurate online property listings.
  • Assist with invoicing, fee monitoring, purchase orders and other financial administration where required.
  • Monitor deadlines, follow up outstanding information and ensure tasks are completed within agreed timescales.
  • Maintain confidentiality and ensure compliance with company procedures, regulatory requirements and data protection standards.
  • Provide general administrative assistance to the wider property team when required.

Requirements

  • Previous secretarial or administrative experience, ideally within commercial property, real estate, legal, professional services or a similar environment.
  • Excellent organisational skills, with the ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and accuracy when preparing documents and maintaining records.
  • Confident written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, particularly Word, Excel and Outlook.
  • Experience using property databases, CRM systems or document management systems would be advantageous.
  • Ability to produce professional correspondence and documents with a high level of accuracy.
  • Ability to work independently and as part of a busy team.
  • Professional, approachable and confident manner when dealing with clients and colleagues.
  • Proactive, adaptable and eager to learn within a fast-paced commercial property environment.
