Role Purpose

The Commercial Support Executive provides day-to-day administrative and operational support to the Commercial team.

The role is designed to improve the efficiency of the commercial function by taking ownership of key administrative processes including pricing updates, vendor information, promotions, product setup, reporting, bid administration and claims and general commercial coordination.

This allows the commercial team to spend more time on vendor strategy, pricing, stock management, customer engagement and revenue growth, while ensuring the underlying commercial administration is accurate, timely and well controlled.

Key Responsibilities

Product & Pricing Administration

  • Maintain product, pricing and commercial information within internal systems.
  • Coordinate new product/SKU setup and ensure required product information is complete.
  • Process vendor price lists and support Product Managers with price changes.
  • Maintain customer and reseller pricing where required.
  • Assist with promotional pricing and campaign setup.
  • Maintain product descriptions, specifications, lifecycle status and associated commercial information.
  • Support the removal or updating of discontinued and end-of-life products.
  • Carry out regular checks to identify pricing or product-data discrepancies.

Vendor & Commercial Support

  • Provide administrative support for vendor relationships and commercial programmes.
  • Maintain vendor documentation, price files, programme information and commercial agreements.
  • Assist Product Managers with preparation for vendor reviews and meetings.
  • Track agreed actions following vendor and commercial meetings.
  • Support the administration of vendor rebates, incentives and promotional programmes.
  • Maintain records of vendor targets, commitments and supporting documentation.
  • Coordinate information between Commercial, Purchasing, Sales, Finance and Marketing.

Bid & Deal Administration

  • Support Product Managers with vendor bid and special-pricing requests.
  • Maintain records of active bids, expiry dates and agreed pricing.
  • Assist with bid renewals and extensions.
  • Ensure approved vendor pricing is accurately reflected within internal systems.
  • Help track outstanding vendor approvals and commercial queries.
  • Support the administration of project and deal registrations where required.

Reporting & Analysis

  • Produce regular commercial and product reports for the Product Management team.
  • Support reporting around sales, margin, stock, aged inventory and product performance.
  • Assist with preparation of monthly vendor and internal business reviews.
  • Maintain trackers for vendor targets, rebates, promotions, bids and other commercial activities such as MASH.
  • Highlight missing information, overdue actions or discrepancies to the appropriate Product Manager.
  • Support the preparation and distribution of commercial dashboards and reports.

Stock & Purchasing Support

Working Alongside Product Management And Purchasing

  • Assist with stock reporting and availability reviews (A, B and C SKU’s)
  • Support the identification of aged, slow-moving and excess inventory.
  • Maintain information relating to product lifecycle and discontinued stock.
  • Help coordinate vendor stock promotions and clearance activities.
  • Assist with tracking outstanding purchase orders, back orders and expected stock where required. Create reports for Purchasing team to action.
  • Support Product Managers with the administrative elements of stock planning and forecasting.

Sales Support

  • Act as an internal point of contact for routine commercial and product queries. Back up to PM team.
  • Provide Sales with approved pricing, product and promotional information.
  • Help communicate new products, promotions and commercial updates internally.
  • Support Product Managers with larger customer quotations and commercial opportunities.
  • Coordinate information required from vendors for customer opportunities.
  • Escalate commercial decisions to the appropriate Product Manager rather than making unauthorised pricing or commercial commitments.

Marketing Coordination

  • Provide product and pricing information required for marketing campaigns.
  • Coordinate promotional information between Product Management and Marketing.
  • Ensure promotions have correct SKUs, pricing, dates and supporting information.
  • Help maintain vendor marketing calendars and promotional schedules.
  • Assist with gathering vendor assets and product information where required.

  • Accuracy of product and pricing data.
  • Speed of new product/SKU creation.
  • Turnaround time for pricing and commercial administration.
  • Bid and special-pricing processing times.
  • Percentage of vendor actions completed on time.
  • Accuracy and timeliness of commercial reporting.
  • Reduction in outstanding administrative actions.
  • Internal service levels to Product Management and Sales.
  • Accuracy of rebate and promotional records.
  • Reduction in Product Manager time spent on routine administration.

  • Experience producing sales, stock and margin reports.

Role Boundaries

The Commercial Support Executive supports rather than replaces the Product Manager.

Product Managers remain accountable for: vendor strategy, commercial negotiations, pricing strategy, forecasting, stock strategy, vendor relationships, product strategy and overall commercial performance.

Commercial Support owns the administration around those activities: system updates, trackers, reporting, documentation, bid administration, product setup, pricing administration and coordination.
