Job Description
Overview:
The Commissions/T&E Administrator plays a critical role in supporting operational accuracy and compliance across commission processing, travel and expenses (T&E), and company car administration. The role requires strong attention to detail, effective stakeholder collaboration, and confidence working across multiple entities and service providers.
Job Responsibilities:
Commission Calculations
- Take full responsibility and accountability for the accurate calculation of sales commissions across all company entities.
- Prepare and deliver monthly and quarterly commission calculations in line with approved commission plans.
- Work closely with Business Leads and relevant stakeholders to ensure the latest commission structures, amendments, and approvals are correctly reflected.
- Maintain clear audit trails and supporting documentation for all commission calculations.
- Identify discrepancies or issues and proactively resolve them in collaboration with the business teams.
- Work with BI teams to maintain databases.
- Run weekly/monthly/quarterly commission statements for all businesses as required.
Travel & Expenses (T&E)
- Partner with the Global Business Services (GBS) organisation and outsourced service provider to ensure expense claims are processed accurately and in compliance with VAT requirements.
- Act as a point of contact for T&E-related queries, providing guidance to employees where needed.
- Support continuous improvement of T&E processes, ensuring accuracy, efficiency, and compliance.

Company Car Scheme Administration
- Administer the end-to-end company car scheme, including vehicle renewals, repairs, and returns.
- Coordinate with Alphabet (company car service provider) to manage day-to-day queries and operational requirements.
- Arrange hire cars as required and ensure minimal disruption to business operations.
- Manage the administration of fines, congestion charges, and related costs, ensuring timely resolution and appropriate recharging where applicable.
- Maintain accurate records and ensure compliance with company policy.
This role is extremely varied; therefore, the job description is not exhaustive and the role holder will be required to participate in other duties as required by the business.
Job Skills & Experience Required:
Qualifications:
- A Level or equivalent standard of education.
- The Henry Schein suite of training associated with this role, provided upon commencement of employment.

Experience:
Essential
- Proven experience in an administrative or coordinator role, ideally within a multi-entity or complex organisation.
- Strong numerical accuracy and confidence working with calculations and data.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong stakeholder management and communication skills.
- High attention to detail with a proactive, problem-solving mindset.
- Advanced Excel skills.
Desirable
- Experience supporting commission calculations or incentive schemes.
- Knowledge of T&E processes and VAT treatment.
- Experience administering company car schemes or working with external service providers.
- Familiarity with finance systems and Excel.
