Role Objectives

We are looking for a dynamic, positive person with a can-do attitude to join our team at Elgin City Community Trust as a Community Communications and Operations Officer.

The candidate must be organised, flexible with strong inter-personal skills.

The Communications and Marketing Officer will play a key role in promoting the Trust’s work by maintaining effective internal and external communications, and supporting the successful delivery and reporting of its community projects.

The role will be responsible for managing the trust's communications and social media presence, producing engaging content, supporting project monitoring and reporting, maintaining financial administration, and developing positive relationships with trust partners, funders, sponsors and other stakeholders.

The role will provide an important link between the Trust’s operational activities and its external audiences, helping to raise awareness, demonstrate impact, attract funding and strengthen the Trust’s profile within the community.

Overview of roles and responsibilities

Communications

  • Manage clear, consistent and professional internal and external communications across the trust.
  • Develop written and digital content that effectively communicates the trust's activities, achievements and impact.
  • Ensure communications are appropriate for different audiences, including beneficiaries, volunteers, partners, funders, sponsors and the general public.
  • Maintain accurate and up-to-date information across the trust's communication channels.
  • Ensure the trust's tone, messaging and visual identity are used consistently.

Social Media and Digital Marketing

  • Manage the trust's social media accounts across relevant platforms.
  • Develop and maintain a regular social media content schedule.
  • Create, publish and monitor engaging content, including posts, photographs, videos, project updates and promotional materials.
  • Monitor social media performance and provide regular analysis and recommendations.
  • Identify opportunities to increase engagement, reach and awareness of the trust and its projects.

Community Project Reporting and Analysis

  • Support the monitoring and reporting of the trust's community projects.
  • Collect relevant project data, outcomes, statistics, photographs, testimonials and case studies.
  • Produce regular project reports for management, trustees, funders, sponsors and partners.
  • Ensure reporting requirements and deadlines for funded projects are met.

Financial Administration and Reporting

  • Raise and process invoices relating to the trust's activities and projects.
  • Maintain accurate records of income and expenditure.
  • Assist with financial reporting for projects, grants and funding programmes.
  • Monitor project expenditure against agreed budgets and highlight any variances or concerns.
  • Provide information and supporting documentation to the trust's accountant, finance team and/or trustees as required.

Funding, Sponsorship and Grants

  • Assist in identifying suitable funding, sponsorship and grant opportunities.
  • Research potential funders, grant programmes and corporate sponsorship opportunities.
  • Assist with the preparation and submission of funding and grant applications.
  • Maintain a record of applications, deadlines, awards and reporting requirements.

General Responsibilities

  • Support the trust's wider operational activities as required.
  • Attend staff, project, partner meetings as appropriate.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Comply with the trust's policies, procedures and relevant legislation.
  • Promote equality, diversity and inclusion in all aspects of the trust's work.
  • Maintain a professional image and act as a positive ambassador for the trust.
  • Undertake any other reasonable duties consistent with the nature and level of the post.

Requirements Needed

  • Experience in communications, marketing, administration or a related role.
  • Excellent written and verbal communication skills.
  • Experience managing social media platforms and creating digital content.
  • Strong organisational and administrative skills.
  • Ability to manage multiple projects, deadlines and priorities.
  • Good attention to detail and accuracy.
  • Experience of preparing reports and analysing information.
  • Computer literate skills.
  • Fluency in English (written and verbal) is mandatory with exceptional written and verbal communication skills.
  • Ability to work independently and as part of a small team.
  • Professional and confident when communicating with partners, funders and external stakeholders.

Elgin City Community Trust is seen as a hub for the community of Moray. Building a local legacy of giving, our Trust focuses on people in need in Moray by delivering innovative youth work, education and health and well-being opportunities with schools, community groups and partners. We focus on helping people in our community fight against food poverty, fuel poverty, social isolation and who need help with ASN. We lead community football and active programmes for children and youths in the area. Our Community Trust provides a pathway for volunteers and staff to learn more about community led projects and help us do more in the community of Moray going forward.
