Clinical Administrator – Community Senior Management Team
Band 3 | 15 Hours per Week | Permanent
An exciting opportunity has become available for a motivated and enthusiastic Clinic Administrator to join our friendly and supportive Community Senior Management team as PA to the Heads of Service.
This is a rewarding role at the heart of a busy community service, where you will play a key part in supporting the management team to deliver high-quality care. We are seeking an experienced administrator who is organised, proactive, and able to thrive in a fast-paced environment.
The successful candidate will have excellent communication and organisational skills, with the ability to manage competing priorities and work effectively both independently and as part of a team. A positive, flexible approach and strong attention to detail are essential, along with the ability to adapt to changing service demands.

Main duties of the job
- To provide a full, high quality administrative and secretarial support to Community Services Senior Management Team
- To support the Head of Service, with booking of venues for meetings, minute taking, responsible for following up action points, and the preparation and distribution of agendas and related documentation
- To provide fully comprehensive administrative support to the Department
- To prepare presentation documentation for induction days, Senior Management meetings, creating and designing PowerPoint presentations
- To prioritise, plan and organise own work schedule, ensuring that anticipated difficulties in meeting deadlines are promptly reported
- To deputise for the PA to the Older Peoples Neuro Intermediate Care Divisional Directors as necessary
- To ensure secure storage and archiving of information as required
- To ensure that Trust standards are adhered to in relation to all documentation and confidential information
- On occasion, work at different sites of the Trust as required by the Divisional Directors, for example to take minutes of meetings.
- Assist the OPNIC Divisional Directors and Community Head of Service in managing their cross-site responsibilities by being flexible and responsive to their needs.

Qualifications
Essential criteria
- GCSE or equivalent in Maths and English (grade A-C)
- Computer literate: RSA level 2 or equivalent.
- Evidence of continued professional development.
Desirable criteria
- NVQ level 3 in administration or equivalent.
Experience
Essential criteria
- Experience working in complex situations.
- Admin experience in a healthcare environment.
- Experience of using Trust systems, EPIC, Emis.
Desirable criteria
- Healthcare assistant / rehab support worker/ carer experience.
Skills
Essential criteria
- Able to communicate effectively both verbally and through documentation
- Good IT skills.
- Word, Excel, PowerPoint skills.
- Uses own initiative and take responsibility to resolve issues.
