Your Role
We're looking for an enthusiastic and organised Community Experience Officer to be the heart of our London office. You will be the first person visitors meet when they walk through the door and play a key role in creating a welcoming, enjoyable, and well-organised workplace for our team. From managing reception and office facilities to coordinating suppliers, supporting events, and ensuring the office is always stocked and running smoothly, you'll help create an exceptional employee and visitor experience. This is an ideal role for someone early in their career who enjoys working with people, takes pride in creating great environments, and loves making things happen.

Reception & Visitor Experience
- Deliver a warm, professional and highly attentive reception experience, ensuring every visitor, client, candidate and partner feels genuinely welcomed from the moment they arrive.
- Act as the face of KodeLab, providing a consistently high standard of service and creating a "five-star hospitality" experience for both guests and employees.
- Maintain the reception area, meeting rooms and guest spaces to exceptional standards at all times, ensuring they are presentation-ready and reflect KodeLab's brand and culture.
- Proactively anticipate the needs of visitors and team members, including preparing meeting rooms, coordinating refreshments, and ensuring a seamless arrival experience.
- Answer and direct incoming calls, emails and enquiries in a professional, friendly and timely manner.
- Manage visitor registrations, guest access and meeting room bookings efficiently and accurately.
- Build strong relationships with employees, visitors and external partners, acting as a trusted and approachable point of contact.

Office Experience
- Ensure the kitchen, breakout areas and office spaces are clean, stocked and inviting.
- Manage office groceries, snacks, drinks and supplies.
- Refill and maintain coffee machine and kitchen facilities.
- Help create a positive daily experience for employees and guests.
Facilities & Vendor Coordination
- Act as the main point of contact for office suppliers and service providers.
- Coordinate building maintenance, cleaning services, plant care, water systems, deliveries and other contractors.
- Liaise with building management and the main reception team.
- Monitor office issues and ensure they are resolved efficiently.

Community & Events
- Support the planning and delivery of team events, celebrations and company activities.
- Help organise office initiatives that bring people together and strengthen company culture.
- Assist with office decoration, seasonal activities and workplace improvements.
- Coordinate communications with tenants, visitors and building stakeholders when required.
Office Administration
- Support general office administration and day-to-day operations.
- Manage office supplies and inventory.
- Assist with travel bookings, meeting coordination and basic administrative tasks where needed.
What We're Looking For
- Friendly, professional and approachable personality.
- Strong organisational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proactive attitude with a willingness to take ownership.
- Ability to manage multiple priorities in a busy environment.
- Comfortable interacting with employees, visitors, suppliers and building management.
- Previous experience in reception, hospitality, office administration, workplace experience or customer service is beneficial, but not essential.
