The Role

Foundervine Spaces is a community-led coworking hub designed for founders, creatives, and purpose-driven professionals. It is more than a workspace - it is a place for connection, collaboration, and growth.

The Community Operations Associate plays a key role in bringing this to life day-to-day. This is a hands-on, front-facing role focused on creating a welcoming, well-run, and high-quality environment for members, guests, partners, and event attendees.

You will support member experience, tours and enquiries, events, facilities coordination, and the day-to-day running of the space. This role is well-suited to someone early in their career who is proactive, organised, confident with people, and takes pride in maintaining high standards in a fast-paced environment.

Key Responsibilities

Member Experience

  • Act as the first point of contact for members, guests, partners, and visitors.
  • Create a warm, welcoming, and professional environment at all times.
  • Build strong relationships with members and contribute to a strong sense of community.
  • Support the onboarding of new members, ensuring a smooth and positive experience.
  • Respond to member questions, issues, and requests in a timely and helpful manner.
  • Gather informal member feedback and share useful insights with the wider team to improve the member experience.
  • Support member engagement activities that encourage connection, collaboration, and community participation.

Tours and Enquiry Management

  • Deliver engaging and informative tours to prospective members.
  • Manage and follow up on enquiries in a timely and organised manner.
  • Support the conversion of interest into membership through clear, confident, and consistent communication.
  • Maintain simple tracking of enquiries, tours, follow-ups, and outcomes.
  • Ensure prospective members receive a positive and professional first impression of Foundervine Spaces.

Space Operations & Facilities Support

  • Ensure the space is consistently clean, organised, comfortable, and well-presented.
  • Monitor shared areas, meeting rooms, phone booths, kitchens, bathrooms, and other facilities to maintain high standards.
  • Proactively identify and resolve day-to-day issues, escalating where appropriate.
  • Support general operational tasks to ensure the space runs efficiently.
  • Liaise with external vendors and suppliers where required, including cleaning agencies, utilities providers, maintenance contractors, and other service partners.
  • Help coordinate facilities-related requests, repairs, deliveries, and site visits.
  • Keep simple records of operational issues, actions taken, and follow-ups required.
  • Support the implementation of space policies, house rules, and member etiquette standards.

Events Support & Delivery

  • Support the setup and smooth running of events within the space.
  • Welcome guests and support on-the-day coordination.
  • Assist with logistics including room setup, materials, refreshments, signage, registration, and breakdown.
  • Liaise with internal teams, event organisers, and external suppliers where needed.
  • Help ensure events are delivered professionally and enhance the overall experience of the space.
  • Gradually take on more responsibility in coordinating and running events over time.

Member Feedback & Continuous Improvement

  • Listen actively to members and identify recurring themes, issues, or opportunities for improvement.
  • Support the collection of member feedback through informal conversations, surveys, check-ins, or feedback forms.
  • Share relevant feedback with the appropriate team members so that improvements can be made.
  • Help ensure feedback is followed up where appropriate, so members feel heard and valued.
  • Contribute ideas to improve the member journey, community feel, and day-to-day experience within the space.

Person Specification

We are looking for someone who is:

  • Proactive and takes ownership of their environment.
  • Friendly, approachable, and confident interacting with people.
  • Highly organised with strong attention to detail.
  • Comfortable working in a hands-on, fast-paced setting.
  • Reliable and consistent, with a strong work ethic.
  • Confident speaking to new people and building relationships.
  • Practical and solutions-focused when dealing with day-to-day issues.
  • Able to communicate clearly with members, guests, suppliers, and colleagues.
  • Keen to learn and develop within a community-focused organisation.
  • Comfortable balancing hospitality, operations, events, and admin tasks

The ideal candidate must/must be:

  • Able to work on-site in Canada Water, 5 days per week.
  • Confident speaking to new people daily and leading tours of the space.
  • Highly organised and responsive, with strong attention to detail.
  • Take pride in maintaining a clean, well-presented, and professional environment.
  • Reliable and consistent in attendance and performance.
  • Willing to support hands-on operational tasks as needed.
  • Comfortable liaising with members, guests, vendors, and suppliers in a professional manner.
  • Open to receiving and sharing member feedback to improve the space.

Desirable

  • Candidates based in South East London or with an easy commute are strongly preferred.
  • Some flexibility may be required for occasional events, depending on the needs of the space.
