Community & Operations Coordinator
WITSEND - 20 hours per week, remote (weekly meeting in Oxford, UK)
About WITSEND
WITSEND is a community of more than 300 women leading companies in tech, digital, media, and AI — CEOs, board members, founders, and executives across the UK and Europe. We exist to help more women reach the top and to make the journey to get there less lonely. WITSEND started in 2017, when nine women CEOs decided they wanted an honest space to talk about the realities of leadership. Almost ten years on, WITSEND has grown into one of the most trusted networks of its kind - built on generosity, candour, and genuinely showing up for one another.
We have a very vibrant WhatsApp community, zoom calls on everything from leadership and strategy to AI and meaningful life, and meet-ups across London, the wider UK, and some European cities.
WITSEND is run almost entirely by its members, with a small, close-knit team making the day-to-day operations work. We have ambition to do more. This role is being created to support the membership base and operations to keep the community running smoothly day to day and make our ambition possible.
The role
This is a new, part-time (20 hours per week) role created to keep the community running smoothly day to day, so that our Community & Operations consultant and co-founders can focus on strategy and growth.
You will be the reliable operational engine behind the member experience: the person who makes sure applications are processed, members feel looked after, events run without a hitch, and nothing slips through the cracks. You'll work closely with our Community & Operations consultant and directly support the co-founders and members running events and initiatives. You'll not only be handling the details that make this community work - you will have direct contact with more than 300 of the most interesting women in UK tech.

Key responsibilities
Membership administration
- Process new applications through our system and manage the onboarding sequence for new members
- Keep member records accurate and up to date, and carry out regular data-hygiene checks
- Manage renewals: chase lapsed payments where a personal reach out is needed
- Flag anything that needs a decision to the Community & Operations consultant / co-founders
Member support
- Act as the first point of contact for day-to-day member questions, responding promptly and warmly
- Escalate more complex or sensitive queries appropriately
- Help members get the most out of the community's tools and channels
Events & community logistics
- Manage events in our events platform (Luma)
- Coordinate logistics for in-person events (e.g. venues, photographer, attendee lists)
- Attend key events in person (in London, at least monthly) to set up, greet members, and help with logistics
- Keep our WhatsApp community tidy and welcoming, and help onboard members into the right groups
Systems & data
- Work confidently within our tools (Airtable, Luma, GSuite, and others)
- Keep information flowing correctly between systems and maintain clean, reliable records; including invoices, receipts, and expenses.
- Proactively maintain and where possible improve existing systems

Team & committee coordination
- Provide secretariat support to the team, the operating board, and co-founder meetings - scheduling, agendas, notes, and chasing actions to completion
About you
Essential
- Absolute discretion and sound judgement - comfortable handling confidential information about senior people
- Strong, proactive communication skills
- Confident with AI and digital tools and quick to learn new systems
- Highly organised and reliable, with strong attention to detail and follow-through
- Self-directed and dependable working remotely with minimal supervision
- Able to spread your hours flexibly across the week
- Excellent written English, with a warm, professional tone in member-facing communication
- An interest in women's leadership and professional development
Desirable
- Experience in community, membership, events, EA, or operations roles
- Familiarity with Airtable, Luma, Wix, or similar platforms
- An interest in tech and AI
Terms
- Type: Part-time, 2.5 days per week, with some ability to spread flexibly across the week (but some availability every weekday)
- Location: Remote first, based in or near Oxford UK, one weekly in-person meeting, able to travel to London for events in the daytime / evening 1-3 times per month
- Reports to: Community & Operations Director, working closely with the co-founders
- Start date: September 2026
- Compensation: £20k per annum
