We’re looking for an organised, proactive and detail-focused Company Secretarial Assistant to join our Company Secretariat team at Affinity Water on a 12 month FTC.
Reporting to the Head of Company Secretariat, you’ll provide high-quality administrative support to the team, helping to ensure meetings, governance processes and statutory requirements are managed effectively.
You’ll also provide maternity cover for the Affinity Water Pension Trustee Board, supporting all aspects of trustee meetings and helping to maintain strong governance across the scheme.
What you’ll be doing
- Coordinate Pension Trustee meetings, including scheduling, agendas and circulation of paper
- Support the maintenance of Board and Committee calendars, governance records, registers and training schedules.
- Support the preparation of minutes and meeting summaries.
- Assist with statutory records, Companies House requirements and the Annual General Meeting.
- Support the Deputy Company Secretary with the Annual Report.
- Undertake governance research and support governance best-practice initiatives.
- Manage the Company Secretariat and Pension Trustee mailboxes.
- Liaise with pension advisers, legal advisers, scheme administrators and internal stakeholders.
What you’ll bring
- Previous experience in company secretarial, governance, legal administration, pension governance or Board/Committee support.
- Excellent organisational skills and strong attention to detail.
- Strong time-management skills to balance the requirements of the role
- Proven experience taking minutes and managing action logs.
- The ability to manage multiple priorities and deadlines in a fast-paced environment.
- A proactive and self-motivated approach, while also working well as part of a team.
- Strong communication skills and an understanding of confidentiality when handling sensitive information.
- A willingness to learn new systems and processes.

Experience with Board Intelligence, Pension Pal, Companies House web-filing and Microsoft 365 would be desirable.
