Role Overview
The Compliance Administrator will provide administrative and operational support across the Partnership's compliance, governance and risk management framework. Working within a multidisciplinary UK property consultancy environment, the role will support a broad range of compliance activities including Anti-Money Laundering (AML), conflicts management, health and safety, ISO management systems, drone compliance and insurance, contract reviews, regulatory monitoring and general compliance administration.
The role is ideally suited to an organised, detail-focused individual who enjoys working across multiple disciplines, interpreting procedures, monitoring compliance requirements and supporting colleagues to meet their regulatory obligations.
The Compliance Administrator will work closely with the Compliance Team, divisional leaders, operational teams and external advisers to help maintain a strong culture of compliance across the business. This aligns with the organisation's compliance framework covering AML, health and safety, risk management and ISO standards.
Key Responsibilities
Anti-Money Laundering (AML) & Client Due Diligence
- Support the administration of the firm's AML and client onboarding processes.
- Conduct Customer Due Diligence (CDD) and Know Your Client (KYC) checks using approved systems.
- Assist with Enhanced Due Diligence (EDD) reviews where required.
- Ensure AML records are maintained accurately and in accordance with regulatory requirements.
- Monitor completion of AML documentation and follow up outstanding information.
- Respond to routine AML enquiries from fee earners and support staff.
- Escalate high-risk matters and unusual activity to the Head of Compliance, MLRO or nominated individual.
- Assist with AML audits, reporting and monitoring activities.
- Support the maintenance and implementation of AML policies, procedures and guidance. These activities align with ongoing AML process reviews and guidance development within the business.
Conflicts Management
- Assist with conflict of interest checks for new instructions, clients and projects.
- Maintain conflicts registers and records.
- Support fee earners in completing conflict assessment processes.
- Escalate potential conflicts to the appropriate decision maker.
- Assist in maintaining policies and guidance relating to conflicts management.
- Support periodic reviews of conflict management processes.

Health & Safety Compliance
- Coordinate health and safety documentation, records and audits.
- Assist with incident reporting and monitoring.
- Maintain training records and compliance logs.
- Support the scheduling and monitoring of risk assessments and statutory inspections.
- Coordinate actions arising from health and safety audits.
- Assist with health and safety reporting and compliance reviews.
- Work with operational teams to promote a positive health and safety culture. The organisation's compliance strategy includes proactive health and safety monitoring and audit activity.
ISO Management Systems
- Support the administration of ISO 9001, ISO 14001 and ISO 45001 management systems.
- Maintain document control registers and compliance records.
- Assist with internal and external audits.
- Track audit findings and corrective actions.
- Support ongoing certification activities and continuous improvement initiatives.
- Monitor compliance with documented procedures and standards.
- Assist with reporting and performance monitoring related to ISO systems. The organisation maintains ISO audit programmes and certification activity across quality, environmental and health and safety management systems
Drone Compliance & Insurance
- Maintain records relating to drone operators, licences, permissions and training.
- Monitor renewal dates for drone registrations and Operator IDs.
- Coordinate insurance renewals and maintain insurance schedules.
- Assist in ensuring compliance with Civil Aviation Authority (CAA) requirements.
- Monitor compliance documentation relating to drone operations.
- Support communications with insurers and external providers regarding drone activity. Current compliance oversight includes CAA requirements and drone operator governance.
Contract Reviews & Risk Management
- Undertake initial reviews of client contracts, terms of engagement, NDAs and consultant agreements against approved risk criteria.
- Identify provisions requiring escalation to Compliance, Legal or senior management.
- Maintain contract review trackers and registers.
- Monitor completion of contract review actions.
- Assist with maintaining standard contractual templates and guidance notes.
- Support the management of compliance and contractual risk registers.
General Compliance Administration
- Maintain compliance records, logs and regulatory registers.
- Monitor policy review dates and version controls.
- Support compliance audits and assurance reviews.
- Prepare compliance reports, dashboards and management information.
- Coordinate compliance training programmes and record completion rates.
- Assist with policy drafting, updates and document management.
- Monitor regulatory developments and circulate updates as required.
- Support wider compliance projects and initiatives.

Essential
- Previous administrative experience.

- Experience within professional services, property, construction or surveying sectors.
- Understanding of AML and client due diligence requirements.
- Knowledge of ISO management systems.

- Understanding of UK GDPR and data protection requirements.
- Knowledge of drone compliance requirements and insurance administration.
