Purpose of the Role

Reporting to the Operational Manager, the Compliance Officer will be responsible for supporting the delivery of technical and health & safety compliance. Working closely with the Technical Team, the Compliance Officer will manage the logging of information and tasks on Concept to ensure statutory compliance and effective completion of tasks. They will also be responsible for tracking the completion of audit tasks across the business and for the tracking of health & safety documentation such as risk assessments.

Key Responsibilities

  • Build and maintain strong working relationships with internal stakeholders, customers, and service providers to develop a thorough understanding of business requirements.
  • Produce and present all Technical Team outputs accurately, professionally, and within agreed timescales.
  • Collaborate closely with operational and support teams to ensure a seamless and efficient service delivery.
  • Deliver a consistently high standard of customer service in all aspects of the role.
  • Support and promote all aspects of Quality, Safety, Health & Environment (QSHE) compliance.
  • Maintain, monitor, and provide updates to the business's QSHE management systems.
  • Manage data input within the Centre's CAFM system, including planned and reactive maintenance tasks, resource allocation, and task completion.
  • Proactively monitor CAFM system performance to ensure compliance with agreed Service Level Agreements (SLAs).
  • Coordinate and manage subcontractor work activities in line with contractual requirements and SLA targets.
  • Ensure Centre logbooks, compliance documentation, quality records, and operational files are accurately maintained, regularly reviewed, and effectively communicated to relevant teams.
  • Administer and monitor the Centre's Permit to Work system, ensuring all contractor activities are properly authorised and conducted in accordance with site procedures.
  • Review and monitor risk assessments, method statements, and toolbox talks, ensuring they remain current and compliant.
  • Provide administrative and reporting support to Health & Safety and Fire Safety personnel.
  • Record, monitor, and manage accident and incident reports through the company reporting system, ensuring investigations and corrective actions are completed promptly and in accordance with company procedures.
  • Support insurance-related processes, claims management, and risk mitigation activities.
  • Undertake a range of administrative duties, including the preparation, review, and maintenance of reports, correspondence, documentation, and operational records.
  • Fulfil Duty Manager responsibilities as required.

  • Excellent customer service skills, with proven experience supporting both internal and external stakeholders.
  • Professional, articulate, and confident communicator with strong written and verbal communication skills.
  • Strong interpersonal skills with the ability to build effective working relationships across teams.
  • Able to prioritise workloads effectively and perform well under pressure, both independently and as part of a team.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Adaptable and flexible, with the ability to work effectively in a fast-paced, multi-disciplinary environment.
  • Strong attention to detail and commitment to producing high-quality work.
  • Demonstrates discretion and confidentiality when handling sensitive business information.
  • IOSH Managing Safely qualification.

Desirable Qualifications and Experience

  • Experience working in a deadline-driven administrative, accounts, facilities management, or technical support environment.
  • SIA Licence.
  • First Aid at Work Certificate.
  • NEBOSH National General Certificate in Occupational Health and Safety.

Working Hours

  • 5 out of 7 - 37.5hrs/week
