Conference Manager (full time)
Salary: From £27,000 (dependent on experience)
Hours: 4 Day Week, Mon – Thurs, 8.5 hours a day (includes a 30 min lunch break)
Location: Newmarket, Suffolk
Fusion Conferences, a highly reputable, family-run scientific conference organiser, is looking for a ‘Conference Manager’ to join their small and friendly team.
You will be responsible for the management of several conferences per year, inclusive of pre and post-conference planning and execution. You will be working in partnership with world-leading professors and doctors to create invaluable in-person meetings for the scientific community.
We are looking for someone who is humorous, sociable, outgoing, and striving for a career within events.
The Office

Our small team has a real family feel, and among the hectic workload, there is always a lot of fun and laughter throughout the day.
We are all huge food lovers, and there is usually a treat of some sort thrown into the working week, whether it be a takeaway lunch, morning pastries, office bake, or the occasional dinner date after work at one of the nearby pubs or restaurants.
The Role
- International travel for 1-2 weeks at any one time
- Responsible for the management of 3-5 conferences per year
- Website management
- Communicate with clients through phone, email, and in-person
- Administration of speaker invitations and correspondence
- Respond to daily enquiries
- Initiate fundraising and liaise with potential and confirmed sponsors
- Marketing and sales
- Create campaigns, communications, and marketing/conference collateral
- Oversee the distribution of conference finances ensuring budgets are maintained
- Liaise frequently with the group coordinator at the venue to prepare for your meeting
- Organise arrangements for conference events such as receptions and dinners
- Maintain conference rooming list and coordinate accommodation updates with venue
- Source and manage suppliers to provide services alongside the conference (transportation, activities, AV)
- Supervise staff and freelance personnel onsite during your conferences
- Digital content management across socials and any other relevant platforms
- Report to Operations Manager and Fusion Directors

Required Abilities & Skills
- Organise and manage your own daily schedule, prioritising is essential
- Strong project management skills
- Highly organised with strict adherence to deadlines
- Proficient multitasker
- Excellent written and verbal communication
- Adaptable when workload is heavy
- Detail-oriented
- Confident with handling finances
- Proactive approach to problems
- Confident to work independently but also supportive when working within a team
- Motivated and ambitious to drive your meetings to success
- Computer literate and an intermediate level of MS Office (Word, Excel, Power Point & Outlook)
- Efficient typing skills
- Valid passport and no criminal records which prohibit entry to any country
- Previous experience with Mailchimp and/or Canva are advantageous but not necessary
- Previous experience in events is advantageous but not necessary
