Role Overview

In a Nutshell…

We have an exciting opportunity for a Construction Administrator to join our team within Vistry South Central Midlands, at our office in Solihull. As our Construction Administrator, you will provide administrative support for construction projects, including document preparation, meeting coordination, supply management, and training organisation. It also involves maintaining records, tracking safety data, and assisting with compliance and regulatory requirements.

More about the Construction Administrator role…

  • Manage incoming and outgoing communications, draft emails, letters and reports and liaise with internal teams and external contractors.
  • Log and track customer build complaints, using the Keys system, and draft responses as required by set deadlines.
  • Organise and maintain the Construction Director’s calendar, schedule meetings, site visits and appointments, ensuring optimal time management.
  • Update build programmes and progress in Coins and run reports as required to support the Construction Management Team.
  • Provide support to all site-based personnel to ensure the smooth running of developments.
  • Order PPE, workwear, and stationery etc. items as needed.
  • Arrange meetings, prepare agendas, take minutes / maintain action logs and collate updates as required.
  • Collate monthly Safety, Health, and Environmental (SHE) figures.
  • Assist in the production of site setup and site handover packs.
  • Collate and log build cases and communications from sites into Vistry’s CRM system, Keys.
  • Support the construction Director with the distribution of construction-related documents and reports to site teams and relevant stakeholders and members of the supply chain. E.g. NHQC reports/Board Reports.
  • Maintain an accurate and efficient electronic filing and archiving system.
  • Maintain the construction department’s training matrix.
  • Book and organise training for the construction team in line with legal and company requirements.
  • Be familiar with the Company’s Safety, Health, and Environmental policies.
  • Support the technical team with NHBC, Premier Guarantee & LABC registrations.
