Construction Document Controller/Administrator

WB Simpson & Sons Ltd is a specialist tiling and natural stone contractor delivering high-quality commercial projects across London and the South East. We work alongside many of the UK’s leading main contractors on prestigious residential, commercial, hospitality and mixed-use developments, with quality, professionalism and attention to detail at the heart of everything we do.

We’re looking for an experienced Construction Document Controller to join our team. This is an excellent opportunity for someone who already understands construction document management systems and can quickly become a key part of our project delivery team with minimal training.

The Role

You’ll be responsible for managing project documentation from pre-construction through to completion, ensuring our project teams always have the latest information and that client documentation is submitted accurately and on time.

You’ll work closely with our office staff, quantity surveyor and site teams to support the successful delivery of multiple live projects.

Key Responsibilities

  • Manage project documentation across multiple client document management systems including Aconex, Asite, Dalux, Procore, RDrive and other client portals.
  • Upload, maintain and organise documentation throughout each project’s lifecycle.
  • Download, distribute and maintain the latest drawing revisions and technical information.
  • Track drawing revisions and transmittals, ensuring only current information is issued to project teams.
  • Organise and maintain project drawing folders and document registers using Dropbox and internal filing systems.
  • Upload QA documentation, inspection records and photographic evidence to client systems.
  • Manage pre-construction submissions including:
    • Material samples
    • Technical submittals
    • Shop drawings
    • Product information
  • Upload and help to compile relevant Health and Safety documentation.
  • Book site deliveries through client booking systems.
  • Issue site induction links and assist with onboarding new operatives.
  • Chase outstanding documentation from site teams and suppliers.
  • Provide general administrative support to both office and site teams to assist in the successful delivery of projects.

About You

We’re looking for someone who already has experience working as a Document Controller within the construction industry.

Essential

  • Experience using common construction document management systems such as Aconex, Asite, Dalux, Procore or similar.
  • Excellent IT skills and confidence learning new software.
  • Highly organised with exceptional attention to detail.
  • Able to manage multiple live projects simultaneously.
  • Strong communication skills with both office and site personnel.
  • Proactive and able to work independently with minimal supervision.
  • Reliable, punctual and professional.
  • Strong knowledge of Microsoft Office, particularly Outlook, Excel and Word.

Desirable

  • Experience within tiling, stone, interiors or specialist finishes.
  • Understanding of QA documentation and construction drawing control.
  • Familiarity with Dropbox or other cloud-based document management systems.
  • Familiarity with understanding construction/architectural drawings.

Salary & Benefits

  • £32,000–£36,000 depending on experience.
  • Full-time position (4-day week considered for the right candidate).
  • Office based in Redhill, Surrey.
  • Working hours: Monday-Friday, 8:00am-5:00pm (4pm finish on Friday).
  • Occasional travel to project sites across London (typically once per week), travel expenses covered when visiting site.
