Contract Administrator
Equans is looking for a Contract Administrator to join our team on our Birmingham schools contract at Coleshill, Birmingham, B46 1JU on a 3 month fixed-term contract. This is a full-time position working 37.5 hours per week, from 08:00 to 16:00, Monday to Friday with a 30 minute unpaid break. On offer is a competitive salary and benefits package.
General Overview
- Monitoring performance and identifying potential risks before they become critical issues.
- Investigating operational problems and determining root causes.
- Coordinating with managers, contractors, and stakeholders to implement corrective actions.
- Tracking and reporting jeopardy cases through to resolution.
- Escalating high-risk issues to senior management when required.
- Ensuring contractual obligations, KPIs, and service levels are achieved.
- Producing performance reports and recommending process improvements.
- Supporting continuous improvement initiatives to reduce future risks.
What will you deliver?
- Schedule and monitor RW using CAFM systems (e.g. Maximo, Concept, Planon)
- Ensure all planned works are logged, tracked, and completed within required timeframes
- Liaise with contractors to confirm ETAs, completion dates, and service reports
- Maintain accurate records of completed works and outstanding actions
- Generate monthly reports on PPM performance and compliance levels
- Track and manage statutory inspections (e.g. fire safety, gas, water hygiene, lifts)
- Ensure all certificates, RAMS, and service documentation are up-to-date and stored correctly
- Support internal and external audits by preparing evidence packs and responding to queries
- Monitor compliance KPIs and escalate risks or gaps to management
- Assist in implementing corrective actions following audit findings

Who are you?
- Ability to communicate effectively both verbally and in writing
- Ability to work on own initiative and to prioritise a varied and demanding workload
- Ability to handle confidential information
- Accuracy with figures
- Intermediate experience to create and produce excel spreadsheets
- Office and finance background preferred
