Contract Administrator

Location: The Albus, 110 Brook St, Glasgow G40 3AP

Working hours: Monday to Friday, 8:30am to 3pm - 30 Hours per week,

Contract: Permanent - Part time

Robertson Facilities Management (RFM) provides hard and soft FM services, grounds maintenance and energy services for single and multi-site locations throughout the UK. We work across sectors including education, healthcare, emergency services and commercial, assuring our customers of high-quality, best value and a sustainable approach.

RFM has grown significantly since its inception in 1999, with a turnover of £181m for FY2025 and employs more than 1500 people. We are now on a growth trajectory, with ambitious plans to grow the business to £300m turnover by 2030. Our plans for growth require RFM to ‘make the market’, and to be at the forefront of high value opportunities in the FM marketplace

Your new role

What you’ll do:

  • Provide administrative control in regard to finance. This will involve but not be limited to raising and receiving POs, invoice queries, assisting with month end accruals, budgeting, housekeeping, stock control, ensuring compliance with established procedures.
  • Administrative tasks supporting contract variations, monthly reporting, monthly invoicing and other contract deliverables.
  • Support in collation and input of Payroll information, ensuring that site overtime and enhanced pay rates are fully understood and applied where appropriate
  • Assisting contracts in regard to HR policies and procedures and provide administrative support as required
  • Manage and undertake ad hoc requests from the contract teams, ensuring works are completed within required timeframes.

What you’ll need:

  • Nat 5 / GCSE in Maths and English
  • Proven work experience in Finance / Administrator or similar role
  • Proficient in Microsoft Office Suite or related software
  • Ability to act with discretion, tact, and professionalism in all situations
  • Able to work effectively within a team and / or without supervision.
  • Ability to work with varying seniority levels, including staff, managers and external partners
  • Excellent attention to detail

Who we’re looking for:

The Contract Administrator will provide a high quality, effective and reliable administration recourse to as part of the Scotland Administration team. The post holder will work closely with the contract teams to provide administrative support to assist with contractual compliance.

In order to provide exemplary admin support, the post holder will be expected to maintain all operational procedures and undertake additional tasks during holidays and sickness
