Contract Co-ordinator
Location: Wooburn Green, High Wycombe
Hybrid working: Two days per week in the office, three days per week working from home
Salary: £36,875 + excellent benefits
Contract: Permanent
Hours: 37 per week

About the role
We are looking for a Contract Co-ordinator to support the delivery of repairs and specialist works carried out by external contractors and supply chain partners. You will act as a key link between operational teams and contractors, ensuring work orders are raised correctly, performance is monitored, invoices are processed accurately and residents receive clear communication throughout their repair journey.
You will play an important role in ensuring contractor activity is compliant, well-managed and aligned to service standards. You will also support performance reporting, contract governance and continuous improvement across the repairs service.
Key responsibilities
Contractor management
- Raise and allocate repair works to approved contractors and specialist suppliers
- Ensure works are instructed in line with contractual requirements and delegated authority limits
- Monitor contractor performance against service standards, response times and completion targets
- Support contract mobilisation, extensions and renewals
- Challenge poor performance and escalate concerns when required
- Build positive working relationships with contractors to improve service delivery
Performance monitoring
- Track contractor performance including completion times, satisfaction, no-access rates and quality outcomes
- Monitor outstanding work orders and ensure timely completion
- Provide performance information for contractor review meetings
- Identify trends and opportunities for improved efficiency

Financial administration
- Raise purchase orders and maintain accurate financial records
- Verify and process contractor invoices in line with procedures
- Ensure invoices match completed works and authorised expenditure
- Support effective budget control through accurate administration
Customer management
- Keep residents informed about contractor appointments and progress
- Act as a point of escalation for contractor-related issues
- Manage customer expectations throughout the repair journey
Compliance and contract governance
- Ensure contractor works comply with health and safety requirements and organisational policies
- Maintain accurate contractor records and documentation
- Support contract audits and performance reviews
- Support procurement and tendering activities
- Maintain contractor, supplier and framework information
Continuous improvement
- Support initiatives to improve contractor performance and reduce costs
- Contribute to service improvement projects across repairs and commercial functions
- Identify opportunities to reduce reliance on external contractors where appropriate
About you
Experience
- Experience working within responsive repairs, maintenance, housing, construction or contractor management
- Experience administering purchase orders, invoices, quotations and financial records
- Experience monitoring performance against service standards and KPIs
- Experience liaising with customers, contractors and internal stakeholders
- Experience managing competing priorities in a busy service environment
Knowledge
- Understanding of contractor management and contract administration
- Knowledge of performance monitoring, KPI reporting and service improvement
- Knowledge of customer service principles and complaint handling
Skills
- Strong analytical and problem-solving skills
- Excellent organisational and coordination skills
- Strong communication and influencing skills
- Strong numerical and analytical skills
- Proficient in Microsoft Office, particularly Excel, Outlook and repairs systems
Other
- Able to challenge and escalate poor performance constructively
- Level 3 qualification in business administration, housing, procurement, commercial management or related discipline
- Working towards a professional qualification in housing, procurement or contract management (desirable)

- Monday - Thursday 09:00 - 17:30
- Friday 09:00 - 17:00
