Contract Manager – Facilities Management

Location: London, Reading & surrounding sites

Company: ParetoFM

About the Role

We're looking for an experienced and proactive Contract Manager to join our team at ParetoFM, taking responsibility for the successful delivery of facilities management services across a portfolio of client locations in London, Reading and additional remote sites.

This is a fantastic opportunity for someone who enjoys building strong client relationships, leading teams and taking ownership of service delivery.

You'll manage a small, dedicated workspace team covering facilities, engineering and associated support services, ensuring our client receives a consistently high standard of service.

As the main point of contact for the client, you'll have responsibility for contractual performance, operational delivery, financial management and reporting, while identifying opportunities to improve services and deliver additional value.

What You'll Be Doing

Client Relationship Management

  • Act as the primary point of contact for the client, developing strong and lasting working relationships.
  • Understand client expectations and ensure services consistently meet agreed standards.
  • Hold regular client meetings, providing operational updates, resolving concerns and identifying opportunities for improvement.
  • Build trust through clear communication, proactive problem-solving and reliable service delivery.

Team Leadership

  • Lead, support and develop a small team responsible for facilities and engineering services.
  • Provide day-to-day guidance, performance management and coaching.
  • Promote a positive, collaborative working environment where colleagues feel supported and empowered.
  • Ensure appropriate resources are in place to maintain effective service delivery across the portfolio.

Facilities & Engineering Management

  • Oversee the delivery of Hard and Soft FM services, including planned and reactive maintenance, cleaning, reception and workspace management.
  • Coordinate engineering activities, specialist contractors, repairs and installations.
  • Ensure facilities are maintained to a high standard, with a strong focus on safety, compliance and customer experience.
  • Monitor service delivery, identify potential issues and implement practical improvements.
  • Maintain oversight of health and safety requirements, ensuring risks are identified and managed appropriately.

Contract & Commercial Management

  • Take ownership of contractual obligations, ensuring services are delivered in line with agreed specifications.
  • Monitor SLAs, KPIs and overall contract performance.
  • Manage account budgets, forecasting, expenditure and cost control.
  • Identify opportunities for efficiencies, service improvements and additional value.
  • Ensure suppliers and subcontractors deliver against agreed expectations.

Reporting & Continuous Improvement

  • Prepare regular operational, performance and financial reports for the client and internal stakeholders.
  • Analyse performance data and identify trends, risks and opportunities.
  • Support service reviews and contribute to ongoing contract development.
  • Ensure accurate records and reporting are maintained across the account.

What We're Looking For

We're looking for someone with a strong background in facilities management who is comfortable balancing operational delivery, client relationships and commercial responsibilities.

Ideally, you'll bring:

  • Proven experience as a Contract Manager, Facilities Manager, Account Manager or in a similar client-facing FM role.
  • Experience managing Hard and Soft FM services across one or multiple locations.
  • Strong knowledge of building services, engineering maintenance and facilities operations.
  • Experience leading and developing operational teams.
  • A good understanding of health and safety legislation and FM compliance requirements.
  • Commercial awareness, including budgeting, forecasting, financial reporting and cost management.
  • Experience managing contractual KPIs, SLAs and service performance.
  • Excellent communication and stakeholder management skills.
  • A proactive, organised and solutions-focused approach.

Desirable, but not essential:

  • A degree or relevant qualification in Facilities Management, Engineering, Business Management or a related discipline.
  • Professional qualifications such as CFM, PMP or equivalent.
