About the vacancy:

The Contract & Partnership Team Leader is a key leadership role within Hedyn’s Property & Place team, responsible for managing contract performance, resident engagement, and the successful delivery of investment programmes.

Reporting to the Head of Asset Investment, the post holder will lead a team of Contract Officers and Assistants, ensuring excellent customer outcomes, effective contract management, budget control, and continuous service improvement. The role requires a strong people leader with experience in contract management, stakeholder engagement, performance monitoring, and delivering value for money within a customer-focused environment. A full UK driving licence with access to a vehicle and business insurance is required

Specifically, in the role you will:

  • Manage and coach the team attached to various projects. Measure contract performance using KPI’s, resident feedback and financial information, ensuring the delivery of the customer promise commitments.
  • Monitor complaints across Property and Place, inclusive of investigation, to ensure that resolution can be sought and situation is resolved and use learning from to develop and improve customer satisfaction delivery by the Investment teams.
  • Monitor and report on Personal Adaptation Grant funding, ensuring compliance management and ensuring engagement and updating of residents.
  • Allocate resource for contract and resident support in delivering Hedyn’s Investment programme of major repairs, regeneration, referrals for physical adaptations, programming works and providing feedback to Welsh Government and other parties.
  • Assist the Contract & Partnership Manager to deliver Hedyn’s Corporate Strategy and assist in the development and implementation of procedures.
  • Manage, motivate, and support direct reports, monitoring and appraising performance, allocating day to day work, and ensuring that all team members’ responsibilities are conducted effectively and in a timely manner, promoting value for money. Provide 1-2-1’s, training, support, and development opportunities.
  • Guide the team to create and deliver contract management processes and undertake contract reviews, including budget monitoring and reporting.
  • Maintain project performance satisfaction reports ensuring data is fed back to the asset delivery team, incorporating within at project progress meetings, ensuring performance reports are used to make improvements to project delivery. Implement lessons learned, for example from resident feedback or post project reviews, as appropriate.
  • Monitor KPI data ensuring the data is incorporated into the monthly quality performance reports.
  • Coordinate information as required in the preparation of Section 20 notices to ensure the statutory leasehold consultation is conducted and produce cost breakdowns prior to award of tender. Attend resident and leasehold consultation / meetings as necessary and provide relevant updates to the business.
  • Updating and extracting information from databases and other data storage systems in an organised and systematic manner. Maintain the process to provide information to customers and suppliers as required and other requests for information and processing them accordingly.
  • Provide professional or technical advice, guidance, consultation, and solutions in an intelligible and timely fashion to colleagues or senior management. Provide practical solutions to complex technical issues, taking specialist advice as necessary. Developing a network of collaborative, productive and effective working relationships with colleagues across the association, to ensure a one team approach is taken to service delivery.
  • Coordinate and guide effectively communicate with customers, private occupants and leaseholders ensuring all complaints and queries are dealt with in accordance with Hedyn policy. Manage escalated complaints and ensure lessons learnt are utilised for continuous improvement.
  • Provide relevant data and information as required.
  • Advise the team to work with external contractors and partner agencies to collate information in relation to Hedyn contracts, social value and community benefits. Ensuring collaboration with colleagues and stakeholders across the business internally and externally.
  • Perform any other duties as directed by your Line Manager in furtherance of the organization and individual objectives and policies.
  • To always work in a safe and appropriate manner to meet the duties and responsibilities within the Health and Safety policies and procedures of the association.
