Dalkia have an opportunity for a mobile Contract Support to join their facilities team, working across our EDF offices in London and Hove.

Hours

  • 40 hours per week
  • Monday – Friday 8am – 5pm
  • Permanent

Location

  • Mobile covering offices in City of London and Victoria, and an office in Hove

Main Purpose of the Job

To provide day to day administration support for all operational, commercial, and financial aspects of a contract or portfolio of contracts.

Working in collaboration with the Facilities Team you will be responsible for the coordination and scheduling of the mobile service engineers time to deliver reactive, PPM and quoted works in line with client KPI's and SLA's.

To take responsibility with a professional approach on the day-to-day operations within daily management of the contract portfolio within the branch ensuring service delivery excellence and working in line with the Dalkia Values and business expectations.

Main Responsibilities

  • Manage the engineering team diaries daily ensuring business expectations for utilization and time management are adhered to.
  • Schedule tasks to external resources and manage performance of their response. Escalation to Lead Contract Support as required for performance related issues.
  • Ensure all tasks are adequately booked in advance ensuring engineer resources are fully utilized on the scheduling system and ensuring clients are fully aware of all scheduled visits.
  • Ensure the correct discipline of engineer is matched to the tasks to be completed. To use a logical and methodical approach mirroring the system's AI data based on location, discipline, urgency, and previous task history.
  • Reduce travel time and cross overs of the engineering resources.
  • Monitoring and maintaining statutory compliance documents which meet the business standards.
  • Ensure all other necessary electronic records, including timesheets are completed by the team in a timely manner to meet internal and customer deadlines.
  • Attend client meetings where necessary and take responsibility for appropriate actions as delegated by the Lead Contract Support.
  • Ensure that all incoming communications from all stakeholders are logged and passed to the scheduling team. Whilst ensuring all logged emergency tasks are managed from start to end (initial callout to completion) keeping the client and systems fully updated throughout
  • Ensure all booked tasks have taken place with appropriate updates from engineers/subcontractors and where this has not happened take appropriate progression action to ensure task completion.
  • Manage the out of hours call out rota, always ensuring cover and strong communication with the out of hours helpdesk team, escalating as appropriate to the Lead Contract Support where there are gaps.
  • Ensure progress and completion of all works are captured with live updates and completion.
  • Generate and close both scheduled and reactive work orders accurately and in line with site requirements.
  • Raise engineer and subcontract Purchase Orders, monitoring the reactive or quoted budgets whenever requested to process an order inclusive.
  • Support Lead Contract Support, Contract Support – Finance and Contract Management Team as required on adhoc tasks.
  • Manage the engineer and customer quotes including the submission and approval within validity period. Including scheduling those of approved quotes for timely completion.
  • Work closely with the Contract Management team to support all WIP processes relating to the contract and coordinate any additional costs as necessary relating to Suppliers or Subcontractors.
  • Work closely with the Commercial team and Contract Manager to gain a full understanding of the contractual obligations from ourselves and the customer.
  • Deliver exceptional service standards to meet client & service partner expectations and ensure all operational difficulties are resolved with the supporting management team.
  • Communicate closely, share information and updates regularly with all team members, the client and end users to support the drive for service improvement across the contract. Forms of communication are via email, teams, phone system.
  • Progress all workstreams of tasks to a practically complete WIP status to support the Contract Support Finance in a timely application and invoicing process.
  • Support and promote Dalkia Values within your team.
  • Take responsibility for your own learning and development activities supported by your line manager and the Performance & Development Review.

  • Driver with own vehicle and happy to cover Hove office at least once a week and London offices the rest of the week.
