Facilities Management | Contract Administration | CAFM & Service Delivery
Hybrid role anywhere in the UK
We’re looking for an organised and proactive Contract Support professional to join our Facilities Management team, supporting the successful delivery of services across a portfolio of client sites.
This is a varied role combining administration with hands-on operational coordination. You’ll work closely with Account Managers, engineers, subcontractors and clients to make sure planned and reactive works are properly scheduled, tracked and completed, while maintaining accurate records and supporting contractual compliance.
If you already have experience within Facilities Management, a service helpdesk or contract support environment, this is a great opportunity to become an integral part of a busy operational team.
What you'll be doing
You'll provide day-to-day support across the contract, including:
- Managing contract and service administration, reports and documentation
- Raising and supporting quotations and purchase orders
- Supporting weekly, monthly and ad-hoc client and operational reporting
- Maintaining accurate information within CAFM and job management systems
- Logging, tracking and monitoring planned and reactive maintenance jobs
- Allocating and coordinating work with engineers and subcontractors
- Following up outstanding jobs, remedial works, inspections and associated paperwork
- Supporting the scheduling of PPM activities and ensuring subcontractor visits are booked on time
- Closing completed jobs and ensuring the required documentation has been received
- Monitoring helpdesk activity, service performance and trends

You'll be an important link between our clients and operational teams.
You'll respond to client queries by phone and email, liaise with engineers and subcontractors regarding ongoing works and work closely with procurement and other internal teams to keep service delivery running smoothly.
You'll also identify and escalate issues to the relevant Account Manager when required.
Compliance & quality
You'll help make sure that our contracts remain organised and compliant by:
- Maintaining compliance documentation and records
- Reviewing subcontractor paperwork, certificates and supporting documentation
- Supporting the management of RAMS
- Monitoring upcoming inspections and coordinating dates with clients and contractors
- Following up outstanding compliance actions and remedial works
- Identifying process gaps and opportunities to improve the way we work
You'll support the wider team in ensuring services are delivered in line with contractual SLAs and KPIs, alongside relevant statutory, client and company requirements.
What we're looking for
We're looking for someone with previous administrative experience within a Facilities Management, Contract Support, Helpdesk or similar service environment.
You'll ideally bring:
- Experience coordinating engineers, contractors or service activities
- Experience using a CAFM or job management system
- Strong Microsoft Office skills
- Excellent organisation and the ability to manage multiple priorities
- Strong written and verbal communication skills
- A professional approach when dealing with clients and contractors
- Excellent attention to detail and accuracy
- The ability to work independently while being part of a wider team
- A proactive approach to resolving problems and following up outstanding actions

You'll play an important part in helping the contract achieve its operational and commercial objectives, including:
- Meeting contractual SLAs and KPIs
- Maintaining accurate CAFM and compliance records
- Ensuring planned and reactive works are effectively coordinated
- Supporting statutory and contractual compliance
- Providing excellent customer service
- Supporting the commercial performance of the contract
- Helping identify opportunities to improve processes and service delivery

This is a great opportunity for an experienced Contract Support, FM Administrator or Helpdesk Coordinator who wants a role with more responsibility and involvement in the day-to-day operation of FM contracts.
You'll be at the centre of service delivery, working with clients, engineers, subcontractors and management to make sure everything stays on track.
